    Custom Job Purpose:

    This position exists to perform clerical functions relating to payroll, human resources, finance, inventory, purchasing, and budgets for the Homeless Education program. Will work under the supervision of the Homeless Coordinator.

     

    Essential Functions of this Job

     

    Performs data entry functions for staff and substitute payroll. Prepares electronic Personnel Action Forms for personnel changes. Prepares and monitors Extended Calendar Surveys for department personnel and substitutes. Participates in the annual reappointment process on behalf of the department. Researches and prepares all purchasing requests for the department, and processes mileage reimbursement. Works with auditors during annual audit exercise, maintains inventory lists and reports. Researches and expedites purchases of needed items for students experiencing homelessness. Research requests, prepares requisitions, monitors and reports on Title IX funds allocation to Homeless Education program. Maintains Hearth database from FTE survey reports to include gathering, compiling, and entering information from school-based homeless advocates. Conducts enrollment follow-up with parent/guardian/caretaker and school-based homeless advocate. Maintains donation records. Arranges shelter meetings. Arranges speakers, prepares handouts, and coordinates presentation schedules. Provides support to other program personnel as needed.

    Knowledge, Skills and Abilities:

    Ability to make sound judgments and decisions and maintain confidentiality. Ability to handle customers with compassion and respect and deal professionally with matters of sensitivity. Ability to communicate effectively, both verbally and in writing. Ability to work independently with minimal supervision. Must perform mathematical calculations and be computer literate and functional on Microsoft software products and other related computer applications. Familiarity with the McKinney-Vento Act and experience working with students who qualify for services (who are identified as experiencing homelessness) is preferred. Bilingual/biliterate preferred.

     

    Education, Experience and/or Certification/License Requirements

     

    High School Diploma or General Education Degree (GED) from an accredited school is required. A minimum of 5 years experience in the areas of personnel, budgeting, finance, purchasing and general secretarial functions is also required.

    Work Context:

    Requires sitting and some standing, walking and moving about to coordinate work. Requires face-to-face discussions and contact with individuals and/or teams. Requires the use of alternative communication systems, such as electronic mail, telephones and computers. Requires coordination of work tasks to establish priorities, set goals and meet deadlines. Requires work with both internal and external contacts, and with the public.

    Physical Environment:

    Requires working indoors in environmentally controlled conditions. Requires sitting for the majority of the day, and the ability to lift, carry, move and/or position objects infrequently weighing up to 20 pounds.
