Position S ummary: This position will provide support to Project Manager s and Senior Project Management Assistant throughout the project lifecycle ( marketing , pre-contractual documents, contract agreement, budgeting, contract administration , invoicing, closeout/archiv e , etc. ) . Provid e contractual, financial, and administrative support to multiple departments . Project management and financial assistance related to contractual management including preparation of redistribution of contract and task funds, price proposals, task proposals, closeout letters, contract agreements, and subconsultant agreements . Assure compliance with each client’s contractual and financial requirements . Set up or review budgets and invoices . Provide coordination and management of subconsultants . Immigration sponsorship or support (e.g. H1B, F-1 CPT/OPT/STEM OPT) is not available for this position, except for qualified candidates eligible for the TN visa classification.
Essential Functions and Responsibilities:
+ Assist Project Managers and Senior Project Management Assistant in contract/project administration and management, which may include the following: preparation of pre-contractual and contractual documents, price proposals, fee/task proposals, funds reallocation requests, and other project-related documentation for submission to clients
+ Continuously track and monitor multiple contracts/projects and budgets
+ Work closely with Project Managers, Senior Project Management Assistant and Accounting & Finance Department to communicate the status of action items
+ Facilitate management and coordination of project’s subconsultants and in-house support disciplines
+ Utilize Power BI project reports for contract and task performance and budget tracking
+ Track and review subconsultant agreements and contract renewals
+ Lead and manage team members by providing leadership and continuous performance management (setting expectations, goals, feedback, 1:1 meeting, coaching) that supports the growth and development of team
Nonessential Functions and Responsibilities
+ Perform other related duties as assigned
+ Coordinate regular updates of workload projections with project managers and regional leaders
+ Coordinate conference planning activities for the PA/OH Region
+ Coordinate career fair attendance, registrations and logistics for PA/OH Region
+ Generate Summary Reports for the PA/OH Region monthly meetings
+ Assist with meeting preparations, logistics and development of meeting minutes and action items
Required Skills
+ Proficient in Microsoft 365 (Word, Excel, Outlook, SharePoint, Teams, PowerPoint)
+ Proficient written and verbal communication skills
+ Excellent organizational and time management skills
+ Attention to detail with the ability to recognize discrepancies
+ Ability to multitask and perform well in a fast-paced environment
+ Strong work ethic
+ Ability to work independently, as well as part of a team
+ Some leadership and supervisory skills
Required Experience
+ High S chool D iploma required
+ 8-10 years of relevant experience is required
+ Associate's degree or a Four- Y ear degree in Business Administration, Business Management or a related field is heavily preferred
