    Job Announcement

     

    Serves as Administrative Assistant to the Virginia Room. Maintains records of gift materials for collection. Prepares, processes, and inventories book and supply orders. Responds to customer inquiries for standard research topics. Provides direct administrative support to the Virginia Room Manager for routine correspondence and services to Virginia Room customers. Maintains Virginia Room digital and paper files including records related to the Rare Book Room materials. Provides general maintenance of Virginia Room equipment and operates electronic resources to produce Virginia Room documents for staff and customers. Works with Virginia Room staff to create, produce and promote programming (using media outlets, and digital and hardcopy promotional pieces) for a variety of Virginia Room audiences. Provides administrative support to the Virginia Room staff. Performs other duties as may be assigned to further the goals and objectives of the Fairfax County Public Library (FCPL).

     

    Note: The assigned functional areas of the position are general administrative support, library services, records/data management, and data entry.

     

    This job announcement may be used to fill future full-time Virginia Room Assistant (Administrative Assistant II) vacancies.

     

    The selected applicant's starting hourly rate will be within the minimum to midpoint range ($19.8210 to $26.4283) of the advertised compensation range (Compensation rules apply for current Fairfax County Government and Fairfax County Public Schools employees).

     

    Schedule: Scheduling flexibility is imperative. Occasional overtime may be required. Some evening and weekend hours may be required.

    Illustrative Duties

    Purchasing

    + Orders, inventories, receives, and/or shelves routine supplies;

    + Reviews invoices/packing slips to ensure shipment is correct and follows up on

    + discrepancies;

    + Tracks expenditures.

    Communication

    + Produces and electronically distributes simple documents (e.g., flyers).

    Office Management

    + Maintains a system for tracking the progress of work;

    + Orients new employees on procedures and systems.

    General Administrative

    + Performs alpha and/or numeric filing;

    + Performs simple screening and sorting of mail;

    + Is responsible for sending dated material.

    Receptionist/Public Contact

    + Refers calls;

    + Greet visitors;

    + Gives standard information in response to phone or in-person inquiries;

    + Acts as back up to other administrative positions.

    Word Processing/Typing

    + Keys/types form letters, labels, simple documents and correspondence;

    + Proofs spelling.

    + Information Systems/Software

    + Performs data entry into multiple screens.

    Employment Standards

    MINIMUM QUALIFICATIONS:

    Any combination of education, experience and training equivalent to high school graduation and one year of experience providing administrative support in the assigned functional area(s).

    PREFERRED QUALIFICATIONS:

    + Experience with local history/genealogy collections and archives.

    + One or more years of experience working in a library setting.

    + Strong customer services skills providing front-line customer service face-to-face, by telephone, and in writing.

    + Experience in planning and providing programs and outreach to adults.

    + Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

    NECESSARY SPECIAL REQUIREMENTS:

    The appointee to the position must satisfactorily complete a criminal background and child protective background check to the satisfaction of the employer

    PHYSICAL REQUIREMENTS:

    Ability to lift up to 15 lbs. Ability to shelve materials at all height levels. Ability to stoop, bend, reach, squat, and kneel. Ability to input, access, and retrieve information from a computer. Ability to push and pull 4-wheeled book bins filled at 90% capacity, requiring 20 lbs. of initial (starting) force, and a sustained force of 10 lbs. after initial acceleration. Ability to push and pull 4-wheeled book carts filled at 70% capacity, requiring 14 lbs. of initial (starting) force, and a sustained force of 7 lbs. after initial acceleration. Physical requirements are applicable to all duties. Must be able to operate keyboard driven equipment. Must communicate with others. Visual acuity is required to read data on computer monitor. All duties performed with or without reasonable accommodations.

    SELECTION PROCEDURE:

    Panel interview and may include a written exercise.
