Basic Function: Responsible for supervision of receptionist and performing reception duties in an efficient manner, in accordance with established procedures, and as directed by the Administrator.
Duties and Responsibilities:
+ Operate paging/telephone system as required.
+ Answer telephone and either relay call or message to the appropriate party.
+ Receive inquires and release information in accordance with established guidelines.
+ Maintain a current listing of all patients/residents’ names and room numbers, along with a list of all emergency numbers and all department extensions.
+ Give directions/information to visitors, etc.
+ Report any suspicious persons to supervisor immediately.
+ Maintain visitor log.
+ Ensure visitors, etc., are following facility rules and regulations.
+ Maintain confidentiality.
+ Participate in overall quality assessment and improvements.
+ Sort mail and place in various staff mailboxes
+ Maintain a petty cash fund for the patients/residents Personal Needs Account.
+ Conduct self in a professional manner, creating a warm and friendly environment.
+ Assists with administrative duties as requested.
+ Maintain coverage for the reception area(s) within the facility to include coverage of staff’s request for time off and call outs.
+ Ensure that the call out logs are maintained and forwarded to Human Resources daily.
+ Ensure that the work area is maintained neat and organized by all receptionist.
+ Ensure that performance evaluations are completed on receptionist staff per facility protocol.
+ Assist with admission work. Other related duties as may become necessary or as directed by the Administrator.
+ Recognize your role as part of the QAPI efforts of your organization.
+ Attend and ensure all receptionists attend trainings to build understanding and capacity to undertake QAPI work.
+ Carry out QAPI roles and responsibilities as assigned.
+ Follow established policies and procedures in support of QAPI efforts.
+ Look for and share with leadership ideas for improvement in the organization.
+ Communicate to leadership upon witnessing a positive outcome of a QAPI project or detecting barriers preventing project success.
+ Support QAPI efforts both verbally and non-verbally (i.e., via actions, and attitude), including adjusting performance and practice in accordance with QAPI initiatives and findings.
+ Assist Human Resource Director and or Administrator as needed
+ Other duties as assigned
Qualifications
+ Must possess, at a minimum, a high school diploma.
+ Previous receptionist or secretarial experience preferred.
+ Any combination of experience, skills and training appropriate for the position.
