Customer Service & Logistics Specialist
Job Summary:
We are seeking a highly organized and customer-focused Customer Service & Logistics Specialist to manage day-to-day operations in a calibration service storefront environment. This hybrid role combines front-desk customer service, quoting, purchase order processing, and invoicing responsibilities with material handling tasks such as shipping, receiving, equipment pickup/delivery, and work order tracking. The ideal candidate thrives in a fast-paced environment, communicates professionally with customers, and works closely with technicians and support staff to ensure smooth calibration service delivery.
Key Responsibilities:
- Greet customers, receive and return equipment, and provide status updates on service orders.
- Issue and track customer units sent to outside vendors and coordinate return and billing.
- Review purchase orders and create service quotes based on customer needs and internal pricing structures.
- Open and monitor work orders, ensuring accurate entry of service, labor, and parts for invoicing.
- Generate, send, and follow up on quotes and invoices to ensure timely payment and customer satisfaction.
- Assist in scheduling onsite calibration events and confirming logistics with customers and technicians.
- Coordinate daily shipping and receiving activities using FedEx, UPS, and other freight carriers.
- Pack and unpack customer equipment according to packaging standards; operate foam packaging machinery if needed.
- Maintain organization of incoming/outgoing shipping documentation and digital records.
- Perform pickups and deliveries as needed, ensuring safe transport and excellent customer interaction.
- Partner with other service centers to track and expedite calibrations
- Escalate delays or customer issues as needed and actively participate in team meetings and improvement efforts.
Qualifications:
- U.S. Citizen or U.S. Person status required.
- Valid driver’s license with a clean driving record.
- 2+ years of combined experience in customer service, administrative support, and/or material handling roles.
- Excellent written and verbal communication skills, with strong customer service orientation.
- Proficient with Microsoft Word, Excel, Outlook; data entry and file management experience.
- Capable of heavy lifting (up to 50+ lbs); ability to stand and move throughout the day.
- Must be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.
- Ability to work flexible hours and occasional overtime as needed.
Preferred Skills:
- Experience with quoting, invoicing, or purchase order processing in a service or technical environment.
- Familiarity with Oracle, Gage, CalWeb, Microsoft Dynamics, or other CRM/service management systems.
- Experience with shipping systems (FedEx, UPS WorldShip) and logistics coordination.
- Previous experience supporting calibration, repair, or lab-based service organizations.
- Demonstrated ability to support multi-site teams or field-based operations.

Pay Range
The salary range for this position (in local currency) is 41,200.00 - 76,400.00
Is this role subject to ITAR?
The essential duties of this position require adherence to U.S. Government export control regulations. Accordingly, candidates must either be U.S. Persons (i.e., U.S. citizens, U.S. lawful permanent residents, or protected individuals as defined by 8 U.S.C. 1324b(a)(3)) or be prepared to collaborate with the company in securing the necessary U.S. government export authorizations.
