    SUMMARY:

    Responsible for full-cycle accounts payable processing, ensuring accurate invoice posting, timely vendor payments, compliance with internal controls, and effective vendor relations.

    SCOPE/SUPERVISION AND INTERACTION:

    The individual contributor will report to the Accounting Team Lead or Business Unit Controller and will routinely interact with Operations, Supply Chain, Buyers, and other internal teams to support day-to-day payment activities. Contact with suppliers may be required.

    ESSENTIAL FUNCTIONS:

    + Process AP invoices, verify PO, receipts/shipping documentation, and order entry; prepare and maintain supporting backup.

    + Reconcile and resolve invoice discrepancies with Buyers/Supply Chain and suppliers; respond to vendor inquiries promptly.

    + Obtain required payment approvals and ensure compliance with company policies, contractual terms, and relevant regulations.

    + Reconcile vendor statements; research and correct discrepancies; monitor PO balances to prevent payments without available funds.

    + Support month-end close, including A/P accruals and audits.

    + Maintain accurate AP records and files; support internal/external audits.

    + Assist with preparation of 1099s (if applicable).

    + Identify and implement process improvements and automation to enhance invoicing accuracy and cycle time.

    + Act as backup for A/R invoicing as needed (may require overtime and Saturday work).

    + Perform other related duties as assigned.

    ESSENTIAL REQUIREMENTS:

    + High school diploma or equivalent; associate’s degree in accounting, Finance, or related field preferred.

    + Minimum 2 years of relevant invoicing/accounts payable or accounting experience.

    + Proficient in Microsoft Excel (required): pivot tables, VLOOKUP/XLOOKUP, INDEX/MATCH, basic formulas.

    + Experience with ERP systems.

    + Strong attention to detail and accuracy in data entry and reconciliation.

    + Ability to work overtime as needed.

    + Act as backup support to accounts receivable invoicing when required (may involve Saturday work).

    + Reliable, punctual, and able to meet strict deadlines in a fast‑paced environment.

    + Strong written and verbal communication skills; effective with cross‑functional stakeholders (Buyers, Supply Chain, Operations) and external suppliers.

    + Ability to prioritize workload, manage multiple tasks, and escalate issues as appropriate.

    + Demonstrated problem‑solving skills and ability to follow documented procedures.

    + Ability to work with others and be a participative team player.

    PREFERRED / DESIRABLE QUALIFICATIONS

    + Associate or bachelor’s degree in accounting, Finance, or related field.

    + Experience with Microsoft Power BI or other reporting tools.

    + Prior experience in a manufacturing, distribution, or government‑contracting environment.

    SCHEDULING REQUIREMENTS

    + Ability to work occasional extended hours and/or weekends.

    + Ability to sit at a workstation and perform repetitive keyboard tasks for extended periods.

     

    Competitive Compensation

     

    + Pay Range: $22.5/hr to $37.5/hr

    + Participation in Annual Incentive Program
