    Position Summary:

    Florida Atlantic University is seeking an Operations Coordinator, Residential Education. - Boca Raton, FL.

     

    The Operations Coordinator plays a vital role in managing the day-to-day functions and customer service delivery of two 24-hour front desk operations within the university’s residential communities. This position is responsible for supervising a team of student employees, ensuring effective service at the front desks, and maintaining a safe, welcoming environment for residents.

     

    This position requires living on campus in a provided furnished apartment. The Department of Housing and Residential Education’s residential facilities do not close. We serve our students and remain open during all campus holidays and closures. Due to our 12-month operation, staff will work on-call hours when the University is closed or when classes are not in session (ex. during Thanksgiving, Winter Break, and Spring Break). This position is considered an essential employee. In severe weather or emergency situations, the University may suspend classes or close the University. This position would be expected to remain at or report to their facilities as soon as conditions reasonably permit.

    Summary of responsibilities:

    + Manage and supervise two 24-hour desk operations.

    + Interview, select, train, supervise, and evaluate Front Desk Staff student employees. Responsible for scheduling, timekeeping, tracking, and approval of student employee hours.

    + Maintain key control/inventory.

    + Responsible for processing charges to student accounts related to room damage, key charges, etc.

    + Coordinate space changes and occupancy verification processes, in consultation with the Assignments and Contracts team.

    + Assist with hall opening/closing procedures.

    + Contribute to a comprehensive assessment plan and utilize data to make evidence-based enhancements to programs and services.

    + Interpret and ensure compliance with departmental and university policies, guidelines, and other relevant regulations. Educate staff and students to enforce policies.

    + Maintain positive working relationships with custodians, maintenance specialists, and other facilities personnel.

    + Communicate with facilities staff and immediate supervisor on building needs and preventive maintenance projects.

    + Facilitate fire drills, conduct routine facilities inspections, and assist with monitoring work orders and communication regarding work order status.

    + Serve as a customer service representative of the department and university. Communicate with residents about housing concerns.

    + Coordinate and ensure proper use of residential spaces for programs and activities. Monitor fitness/computer equipment, if applicable.

    + Review desk shift reports daily and provide necessary follow-ups.

    + Participate in department meetings, staff meetings, committee meetings, and one-on-one meetings.

    + Coordinate summer operations for summer camps, including facility readiness and check-in/out procedures.

    + Assist with summer projects such as staff training, program review, assessment, manual review, procedural guidelines, etc.

    + Engage in professional development opportunities and continuous learning.

    + Support university-wide initiatives and events.

    + Fiscally responsible for the use of a university purchasing card.

    + Serve as a Campus Security Authority and as essential personnel.

    + Serve on an on-call rotation and assist with emergencies and crisis response.

    + Performs other job-related duties as assigned.

    Minimum Qualifications:

    Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience required.
