Job Overview:
The Administrative Assistant role, an in-office full-time position at our Boston location, supports the efficient operation of the Operations' office and departmental functions. Ensuring accuracy, organization, and timely communication. The role requires strong organizational skills, attention to detail, and a commitment to excellent customer service.
This role is a full-time role at 40 hours per week. This position is not remote/hybrid eligible.
Essential Functions:
+ Respond promptly and professionally to client and internal inquiries.
+ Research and resolve issues using available tools and resources.
+ Collaborate across departments to drive resolutions and process improvements.
+ Support project coordination, data entry, and document management.
+ Assist with project planning, scheduling, and logistics.
+ Maintain project trackers and facilitate stakeholder communication.
+ Develop and update departmental procedures and documentation.
+ Provide general administrative and operational support as needed.
+ Serve as a liaison between internal teams, vendors, and external partners.
+ Manage the procurement and inventory of all giveaway and promotional items for the Operations team.
+ Maintain accurate and up-to-date records of Operations activities and ensure timely reporting of key performance data.
+ Support the Senior Director of Operations with planning and scheduling Operations events.
+ Foster culture of customer service and commitment to quality care.
+ Serve as a brand ambassador for VITRA reflecting our vision, mission, and values.
+ Show genuine interest and compassion and commitment to the diversity of our clients and team members.
+ Other duties as assigned.
Education, Experience and Licensure Requirements:
+ Fluency in both English and second language strongly preferred.
+ College Degree preferred, High school diploma or GED required.
+ Minimum of 3-5 years of administrative experience required.
+ Strong organizational, multitasking, and problem-solving skills.
+ Excellent written and verbal communication abilities.
+ Experience with administrative coordination preferred.
+ Case management, behavioral health, social services and/or community health worker experience preferred.
+ Strong communication, documentation, and organizational skills are required.
+ Must be solution oriented and be able to multitask.
Physical and Environmental Demands:
+ Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others.
+ Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
+ Requires lifting and carrying equipment and supplies weighing up to 35 pounds; require pushing and pulling equipment and supplies weighing up to 35 pounds; require walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
