Administrative Assistant – School of Business
Job Summary:
The School of Business of Franklin Pierce University (FPU) is looking for an experienced administrative assistant to help us maintain, strengthen, and promote the school’s programs. Duties include providing support for the Director, faculty, and students of FPU’s business programs, including both undergraduate and graduate (MBA) programs. Responsibilities extend to a wide variety of clerical and administrative tasks related to the School of Business. The Administrative Assistant serves as the primary contact for the School of Business and reports to its Director/Assistant Dean.
Job Responsibilities and Essential Functions of the Position:
+ Being the public face in a receptionist role in the School of Business
+ Directing inquiries to the proper office for solution
+ Maintaining course scheduling and tracking faculty assignments.
+ Maintaining School of Business academic and meeting calendars.
+ Performing various bookkeeping and budget tracking functions.
+ Compiling both manual and computerized records and files for reporting purposes.
+ Collaborating with College leadership to streamline operations management.
+ Working as a liaison with other University offices and departments.
+ Managing the School of Business communication – both internally and externally.
+ Working with the Director, faculty, and students at the School of Business as needed.
Skills and Qualifications:
+ An associate degree in business or related field. A bachelor’s degree preferred.
+ Three to five (3-5) years of previous administrative experience, preferably in higher education or comparable professional setting.
+ Demonstrated experience in customer service work.
+ Ability to manage time and tasks well with multiple priorities and deadlines; must be detail oriented, self-motivated and have problem solving skills.
+ Excellent verbal and written communication abilities and interpersonal skills.
+ Excellent clerical skills, with good administrative, organizational, and office management skills.
+ Ability to deal effectively with students, parents, faculty, administration and other staff, including external constituents.
+ Must possess interest/enthusiasm working with college age students in differing capacities.
+ High proficiency in Microsoft Office 365 including Excel, Word and Outlook with an ability to use and willingness to learn new technologies.
+ Experience in organizing and maintaining moderately complex filing, records, and computerized information systems, particularly shared drives.
+ Ability to read, write and comprehend English, basic math skills.
+ Some experience with student information systems and data management is preferred.
