The University of Miami is currently seeking a Clinical Business Operations Representative 2 to work at Soffer Clinical Research Center in Miami. The incumbent facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The Clinical Business Operations Representative performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient-care and records. This role will also assist patients in a courteous, efficient and professional manner and ensure adherence to divisional and departmental service standards.
Core Job Functions
1. Assists the department in managing expectations surrounding pre and post patient care.2. Obtains or reviews all patient demographic information, insurance information and referral numbers.3. Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.4. Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.5. Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.6. Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.7. Provides coverage for responsibilities of co-workers when assigned or as need arises.8. Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.9. Maintains confidentiality of all information.10. Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions
1. Serves as a mentor figure to less experienced team members, training, guiding and assisting on the queue as directed by Call Center Supervisor or CBOR 2 lead.2. CBOR 2’s are expected to take on additional providers, whether it be APRN, or physicians, as they join the team. These more experienced CBOR’s will help onboard, and acclimate providers to the DSUI team.3. CBOR 2’s will offer guidance, familiarity and their experience with their provider’s clinical schedule, upon review of template building. Our department reviews templates annually, and the CBOR 2 is expected to work with the template builder to create templates that suit the individual provider and patient demographic, that the CBOR 2’s providers treat.4. The CBOR 2 has the ability and leadership skill to “open” and “close” the call center for the day, and manage lunchtime or departmental meeting shutdowns. This may involve getting on the queue and taking patient calls, managing the assigned CBOR 1’s in a manner that benefits the department and the patients, and alerting the administrative manager, when assistance is needed. The CBOR 2 will have the ability to ask additional CBOR’s for assistance, at their discretion.5. The CBOR 2 team is expected to cover the other CBOR 2’s as needed, as the CBOR 2 is expected to take on additional responsibilities, and possesses time management skills, that will allow for coverage.
