    Project Admin Assistant

    Position Overview

    The Project Admin Assistant will provide administrative and operational support to ensure the smooth execution of

    project activities. This role is critical for maintaining accurate documentation, coordinating with vendors, and supporting the project team in day-to-day

     

    tasks.

    Key Responsibilities

    + Vendor Communication

    + Act as the primary point of contact for vendors regarding purchase orders.

    + Follow up on pending orders, delivery timelines, and resolve discrepancies.

    + Maintain professional and timely communication to ensure strong vendor relationships.

    + Purchase Order Management

    + Track and update purchase orders in the system.

    + Verify order details, pricing, and delivery schedules.

    + Escalate issues to the project manager when necessary.

    + Excel Reporting & Data Management

    + Create and maintain spreadsheets for tracking project expenses, timelines, and inventory.

    + Use Excel functions (pivot tables, VLOOKUP, c formatting) for reporting and analysis.

    + Ensure data accuracy and integrity across all project documentation.

    + Administrative Support

    + Schedule meetings and prepare agendas for project-related discussions.

    + Organize and maintain project files and documentation.

    + Assist with invoice processing and budget tracking.

    Required Skills &

    Qualifications

    + Technical Skills

    + Proficiency in Microsoft Excel (including formulas, charts, and data analysis tools).

    + Familiarity with purchase order systems or ERP tools is a plus.

    + Communication Skills

    + Strong verbal and written communication for vendor interactions.

    + Ability to handle follow-ups professionally and resolve issues promptly.

    + Organizational Skills

    + Detail-oriented with excellent time management.

    + Ability to prioritize tasks in a fast-paced environment.

     

    Preferred Attributes

     

    + Experience in project administration or procurement support.

    + Comfortable working independently and as part of a team.

    + Problem-solving mindset with a proactive approach.

    + Additional Skills & Qualifications

    + Basic accounting experience preferred.

    + At least 6 months of office setting experience.

    The role is based in a typical office setting, primarily focused on desk work.     Job Type & Location

     

    This is a Contract position based out of AUBURN, WA.

    Pay and Benefits

    The pay range for this position is $30.00 - $35.00/hr.
