We’re looking for an Administrative Assistantto join our legal division — a proactive, people-focused team working to attract and support the talent that drives our mission forward. The Administrative Assistant will perform a variety of clerical duties that require some independent judgment to accomplish in support of the staff members or operations of an organizational unit or program in the Department of Public Safety and Corrections, Public Safety Services, Office of Legal Affairs.

Minimum Qualifications
Five years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

Job Duties and Other Information
Job Duties:
• Responsible for receiving, reviewing, recording, processing, and sorting through large volumes of confidential documentation. All correspondence will be associated with the agency’s operations and must be completed within a designated time frame, and distributed to each designated section of the office.
• Assist with maintaining the departmental records system by creating and intaking physical and electronic files, i.e. preparing, indexing, compiling and scanning incoming correspondence into the appropriate file and or electronic database. Responsible for filing closed files accordingly, and maintaining organization within the storage room and intake room.
• Accept subpoenas for the Department of Public Safety from the sheriff. Route to appropriate personnel, decline if necessary. Scan and email all subpoenas to DPS Officers, Louisiana State Troopers and any subpoenas that are timely to the recipient.
• Assist with Typing and recording all letters, reports and memorandums, filing correspondence and keeping office records; compiling and assembling data for reports; answering and screening telephone calls; directing visitors. Functional supervision of Administrative Assistant 4 in various areas of responsibilities. Responsible for various other tasks as requested by the office manager/Executive Staff Officer.

Career Progression: This position does not participate in a Career Progression Group.
Work Schedule:Work hours are 8:00 AM to 4:30 PM, Monday – Friday.
Compensation:The salary offered will be determined based on qualifications and experience. The bi-weekly rate for this position is as follows:
