    Reporting to the General Services Manager, the General Services Coordinator oversees daily operations of DFCI’s ID badge/card access, key and locker programs, and the Maintenance Connection work-order system for employees and external stakeholders (patients, consultants, contractors, volunteers, vendors, trustees, off-site building managers, and leased-space occupants). The role provides backup for Parking & Transportation, Security Systems, and Finance during absences, and leads complex cross-functional projects supporting DFCI’s growing real estate portfolio and clinical affiliation network, collaborating with the General Services Manager, Security Director, Security IT & FSOC Manager, program administrators, and the Financial Coordinator.

    + Lead onboarding and ID badge administration, coordinating New Hire Orientation and collaborating with HR, HRIS, EH&S, and OHS; annually review and re-badge contractors/consultants with the Security Systems Program Administrator II.

    + Manage facility access and keys: oversee key requests and locksmith assignments, maintain PeopleSoft records, coordinate off-site building access with management companies, conduct audits, monitor pending requests, and investigate/resolve employee access issues with Security Systems leadership.

    + Administer the Locker Program and related work orders; use Maintenance Connection to assign/track requests for lockers, keys, off-site access, bicycle registrations, and off-hour parking, ensuring timely completion.

    + Run the Mail Program and data integrity efforts: set up and update Mail Stops, review PeopleSoft for completeness, support directory accuracy, resolve “mystery mail,” and coordinate delivery/tracking of new and replacement ID badges to off-site locations.

    + Coordinate employee separations: monitor the resignations mailbox, arrange return of General Services property, guide dispatchers, and ensure timely, confidential badge deactivation with HR, OHS, and Security.

    + Support parking and transportation services: register patient and staff off-hour parking, troubleshoot issues, back up the Parking & Transportation Program Administrator II (vendors, accommodations, waiting lists, passes, debit cards), and update access in iParc; maintain parking passes and MBTA/shuttle materials.

    + Provide administrative and customer support: back up the Financial Coordinator (invoices, POs, deposits, revenue), monitor departmental Outlook mailboxes, prepare reports and special projects, maintain ID badge supplies and department materials, cover staff absences, deliver excellent customer service, and perform other duties as assigned.

    + High school diploma required Bachelor's degree preferred

    + 3-5 years related work experience required

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

    + Excellent written and verbal communication skills required.

    + Excellent computer skills, including proficiency in Microsoft Word, Excel, PowerPoint, Access and Outlook: experience with use of Unity PeopleSoft, Maintenance Connection Work Order Software, CCure 9000 Security Access System Software, and Amano iParc Parking Software or similar suite of applications.

    + Excellent attention to detail with strong problem-solving and organizational skills.

    + Must be able to prioritize work to meet project deadlines.

    + Must be a "self-starter", capable of initiating action and following through.

    + Demonstrated ability to draft reports, correspondence, and other administrative documents related to General Services programs and distribute as needed.

    + Must be able to multi-task and function independently and act as an integral member of the team in a fast-paced office environment.

    + Must be an energetic, outgoing individual, able to promote new and existing programs and events and able to deal with all levels of staff, trustees, vendors, and volunteers.

    + Requires effectively dealing with conflicting views or issues and mediating fair and workable solutions

    + Must be able to maintain confidentiality.

    + Ability to operate a computer, keyboard and standard office equipment for extended periods of time is required.

    + Ability to hear and respond using telephone equipment.

     

    Pay Transparency Statement

     

    The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

     

    For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA)

     

    $24.33/hr - $27.64/hr
