Salary Range: $19.94 to $24.16 an hour
The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.
JOB SUMMARY
Provides a welcoming environment for customers to the HR department – in person, on the phone and via e-mail; assist visitors and callers by providing info regarding HR services, maintains personnel files and front area for the HR department. Assignments are characterized by an emphasis upon the processing of information or execution of defined programs/actions. The incumbent will deal with highly sensitive, confidential information.
ESSENTIAL FUNCTIONS
1. Customer Service: Provide excellent customer service as the first point of contact for the HR department (phone, in person, or e-mail) to ensure customer satisfaction and adherence to university policies.
• Greet and direct visitors. Assess needs and make appointments when appropriate.
• Assess situations and take independent action to solve problems. When necessary, escalate appropriately to ensure issue is handled quickly and efficiently.
• Through askHR, UST's HR ticketing system, answer routine payroll, benefits, and employment inquiries with accurate, complete information.
2. Administrative Support: Facilitate the day-to-day activities in Human Resources (with assistance from student workers as appropriate).
• Interact regularly and maintain good working relationships with internal and external constituents.· Open and distribute mail; maintain inventory of office and copier/printer supplies.· Serve as central point for purchasing and payables/process invoices.· Assist in reconciliation and auditing, as needed.· Support Human Resources staff. · Coordinate meetings and events.· Assist in the development and delivery of communications
• Assist in streamlining operational processes to improve efficiency and enhance team performance
• Demonstrates strong attention to detail when managing employee records and documentation
• Ensures accuracy and completeness in all HR data entry, reporting and file maintenance
3. Records Administration and Reporting: Coordinates the filing of personnel, payroll, and benefits documents following university policies (with assistance from student workers as appropriate).
• Maintain HR filing system ensuring accuracy and confidentiality.· Enter/load human resources, benefits, payroll and budget data.· Process enrollments, onboarding, transfers, and terminations related to employee records.· Oversee the I-9 verification and re-certification process for students, faculty, and staff.· Assist with preparing compliance report requests.· Research and locate missing information.
4. Student Employment: Provide first-tier support for student employment.
• Assist Student Employment Program Manager with job postings, processing new hire tasks, resolving process and payment issues.
• Coordinate the posting, interviews, hiring and onboarding of student employees in Human Resources. Supervises student employees and provides work projects.
5. Other Duties as assigned.
QUALIFICATIONS
Minimum Qualifications
+ High School diploma or the equivalent
+ Three years of administrative support experience
Preferred Qualifications
+ Experience in Human Resources or working with an HRIS system
