    Job Description

    The Deputy Director of Facilities & Office Services will be responsible for managing the facilities and office services teams. The Deputy Director will supervise and direct units’ staff who are responsible for the effective and efficient management of Facilities and Offices Services. This position requires a detail-oriented manager with strong supervisory, organizational, and communication skills. This position requires a detail-oriented manager to work the internal and external stakeholders including vendors and partner and oversight agencies. The Deputy Director will use creativity and technical skills to locate and identify trends, patterns, and anomalies, and use findings to develop strategies to reduce costs, improve working environments, and increase quality, security, and consistency. This position will also create reports and presentations and summarize complex information.

    Responsibilities:

    - Supervise and direct the Facilities and Office Services supervisors and staff in the day-to-day functions of planning and providing facilities/tenant services and office/copy/mail.

     

    - Work closely with the Director, Asset Management and Executive Director to improve internal and external customer experience by recommending, implementing, and communicating process improvements.

     

    - Develop key performance indicators and systems to improve space utilization, assess needs, reduce costs, streamline processes, and improve efficiency and customer service; monitoring operations to ensure adherence to service levels, polices, and procedures.

     

    - Work with internal stakeholders to assess needs and formulate and implement short and long-term plans.

     

    - Develop unit’s budgets, projects and other programs as determined by agency priorities and the management team.

     

    - Responsible for policies and procedures to improve tenant experience, security, office services to promote and positive planning and report/track space utilization and seating assignments.

     

    - Create reports. Presentations, and summarize complex information to inform management.

     

    - Work with the management team to establish project objectives, budgets, and timeline, monitor progress, and evaluate performance.

     

    - Implement policies and procedures set forth by DCAS, Mayor’s Office, Comptroller and OMB

     

    - Oversee budget forecasting and spending;

     

    - Manage service contracts and vendors.

    CIVIL SERVICE STATUS

    Only permanent Administrative Staff Analysts, permanent Space Analysts eligible for non-competitive promotion to Administrative Space Analyst under rule 5.3.7 of the Personnel Rules and Regulations of the City of New York, applicants who are reachable on the Administrative Staff Analysts open competitive list, and applicants as indicated below will be considered.

     

    Candidates who are permanent in comparable civil service titles may be considered for title change under rule 6.1.9 of the Personnel Rules and Regulations of the City of New York.

    REMOTE WORK

    This position may be eligible for remote work up to 2 days per week, pursuant to the Remote Work Pilot Program.

    ADMINISTRATIVE SPACE ANALYST ( - 1003D

    Qualifications

    1. A baccalaureate degree from an accredited college or university and five years of full-time paid experience requiring general knowledge of construction and construction costs, electronic data processing equipment, telephone communications systems, building standards and leasing procedures, in the evaluation and layout of space in office buildings, garages and other structures used for commercial and industrial purposes, at least two years of which shall have been of a supervisory nature; or

    2. High school graduation or evidence of having passed an examination for a high school equivalency diploma or the U.S. Armed Forces G.E.D. certificate with a score of at least 35 on each of the five tests and an overall score of at least 225 in the examination for the diploma or certificate, plus nine years of full-time paid experience as described in (1) above, at least two years of which shall have been of a supervisory nature; or

    3. A satisfactory equivalent. However, all candidates must be high school graduates or possess the equivalent as described in (2) above and must have at least two years of supervisory experience as described in (1) above.

    Salary Min: $ 68,214.00
