Job Summary and Qualifications
The Staffing Coordinator is responsible for scheduling direct care nursing staff within the assigned nursing departments.
The incumbent provides support for the Kronos scheduler, extensions, mobile systems, as well as complete administrative and clerical tasks.
In collaboration with the Director of Nursing Float Pool & Staffing Support Services, he/she will acquire, manage, manipulate, and analyze Kronos data and prepare and distribute delegated reports.
Collaborates with nursing leadership to develop a schedule and monitor the day-to-day fluctuation in staff/census and make recommendations to adjust staff distribution as fiscally responsible as possible.
Identify all shifts not covered in the initial schedule and proactively work to fill all shifts, including the following: Posting all open shifts for unit staff
Receives all staff sick and other call-outs to collect, track and communicate calls received to charge RN/nursing leadership in a timely fashion. Propose and discuss steps that will be taken to fill the vacancy.
Enter all schedule changes on a daily basis for payroll reconciliation.
Check time against master schedules as necessary and address missed punches
The coordinator will generate dashboards and data necessary for Kronos reports for Nursing leadership, Nursing units, and Patient Care productivity & fiscal management.
Acts as liaison for orientation training sessions for Kronos time and attendance.
Input orientation schedules for all new employees.
Maintains current contracted staffing list, pays invoices accurately and timely.
Monitors staff competency compliance for licensure and AHA and or required certifications
Prepare reports, memos, letters, mailings, and other documents using word processing, spreadsheet, database, or presentation software as delegated.
What qualifications will you need:
+ Associate Business degree from an approved college with 3 years of business office experience, or a high school diploma and at least 5 years of business office experience.
+ Demonstrated clerical, typing, and computer skills.
+ Knowledge of payroll interfaces, preferred.
+ Demonstrated effective interpersonal, communication, and customer service skills.
+ Demonstrated organizational skills with attention to detail.
+ Advanced skills in computer software applications using Microsoft Word, Excel, Access, and Power Point with emphasis on graph creation, form design, and document/record management.
+ Ability to quickly learn new software applications.
+ Ability to analyze and review raw data for accuracy and convert into graphs, spreadsheets, reports and presentations.
+ Ability to prioritize and manage multiple tasks.
+ Knowledge of Kronos Timekeeper, Workforce Scheduler and Extensions programs preferred.
