What You Will Do
Here is a brief summary of what one would expect to be generally responsible for in this role.
Documentation & Training Development ● User-Facing Documentation: Create and maintain user guides, knowledge base articles, tutorials, videos, and/or other media to help staff effectively use IT systems and services. This includes troubleshooting guides, job aids, how-to articles, and frequently asked questions (FAQs).● IT-Facing Documentation: Develop and edit internal documentation for the IT team, such as standard operating procedures (SOPs), system architecture descriptions, and technical specifications.● Web-Facing Documentation: Write and update content for the organization & IT-related web pages, including service catalogs, policy descriptions, and announcements. Ensure all web content is current, well-organized, and follows accessibility standards.● Content Design, Development, Management, and Delivery: Serve as the Training Lead on large-scale initiatives by designing, developing, delivering, and managing all instructional content (online, packaged content, in-person, blended) and training materials, ensuring all learning programs support successful project outcomes and organizational change.
Communications ● Organization-Facing Communications: Draft and distribute communications about IT activities, including project updates, system outages, policy changes, and new service announcements. Tailor messages for different audiences, from executive leadership to general staff. Will be expected at times to present communications in meeting formats or online formats, either for general information or in a training context.● Editing and Quality Control: Edit a wide range of materials from the IT department for grammar, style, and clarity. Ensure all communications and documentation adhere to the organization's style guide and brand standards.
Strategic Support ● Content Strategy: Collaborate with the CIO and IT leadership to develop and execute a content strategy that supports the organization's IT goals.● Stakeholder Collaboration: Work closely with IT staff, project managers, and subject matter experts to gather information and produce accurate, relevant content.● Change Management: Work closely with project teams and stakeholders to provide support for IT-related change initiatives in the organization.
Who We'd Love To Join Our Team
Successful candidates will ensure their application materials speak to the following criteria:Education and Experience (Required):
• Education: Bachelor's degree in English, Communications, Journalism, or a related field.● Experience: And at least 6 years technical writing and/or editing experience, preferably in a technology-focused or research-oriented environment.● Or an equivalent combination of education and experience.
Education and Experience (Desired):
• Experience working in an academic or scientific research organization.
• Familiarity with IT service management (ITSM) and Agile methodologies.
• Experience with graphic design or video editing software to create visual aids for documentation.
Knowledge, Skills, and Abilities (Desired) ● Exceptional written and verbal communication skills, with the ability to tailor content to an audience.● Demonstrated skill in internal communications including editing, use of digital platforms, and staff engagement.● Knowledge and skill in the use of web content management systems such as Drupal, Wordpress, Interact, and other common systems.● Skill in the use of Google Workspace products, Microsoft Office products, and Adobe products.● Working knowledge of HTML and CSS.● Attention to detail, with editing and proofreading skills, and a keen eye for grammar, punctuation, and style.● Excellent project management skills, with the ability to manage multiple projects and deadlines simultaneously.● Outstanding interpersonal skills with the ability to build strong and trusted relationships and inspire confidence from internal stakeholders.● Ability to work and communicate effectively with diverse teams and individuals at all levels of the organization.● Knowledge of best practices for ensuring web accessibility across all sites.
