Job Summary:
The Operations Coordinator provides comprehensive administrative and clerical support for field operations activities, including meter service, installation, replacement, and testing; construction and maintenance recordkeeping; hydrant and valve inspection programs; fire flow testing; dispatching; and final restoration coordination for excavations within the transmission and distribution system.
This position plays a key role in maintaining accurate data, ensuring timely communication with customers and contractors, and supporting the efficient execution of field service programs. Strong attention to detail, organizational ability, and proficiency in Microsoft applications are essential for success in this role.
Essential Duties and Responsibilities:
• Meter Change Coordination – Generate the annual list of meter change appointments. Contact customers to schedule appointments, prepare and send correspondence, monitor and update appointment schedules, respond to customer inquiries, and perform related data entry under the direction of the Superintendent of Distribution Service.
• Administrative Support – Perform regular data entry, recordkeeping, and filing of customer contact information, meter change/test results, and related correspondence to maintain complete and accurate department records.
• Reporting and Metrics – Compile and organize monthly work statistics, prepare Balanced Scorecards, and develop additional reports as needed to support departmental performance tracking.
• Fire Flow Testing – Process requests for fire flow information, prepare response letters, and maintain an up-to-date database of flow test data.
• Hydrant and Valve Programs – Maintain and update hydrant inspection, valve inspection, and system flushing data within established systems and timelines.
• Restoration Coordination – Generate and maintain a list of work sites requiring final restoration. Coordinate with the Company’s restoration contractor, reconcile road opening permits, work orders, and contractor invoices, and ensure proper recordkeeping and documentation of all restoration activities.
• Field Verification – Perform field visits to verify service information, meters, construction records, maintenance work, permits, and restoration information.
• Dispatching – Perform dispatching duties in accordance with the established schedule and provide after-hours or on-call coverage as required.
• Financial Processing – Process payment requisitions, prepare expense reports, and maintain related records in both electronic and paper formats.
• Project Support – Assist with special projects and assignments as directed by the Superintendent of Distribution Service and Director of Distribution.
• Workplace Standards – Maintain a neat, clean, and organized work area and demonstrate professionalism in all interactions.
Qualifications:
• Associates Degree in Business or related field.
• Minimum of 3-5 years of administrative or operational support experience, preferably in a utility, construction, or field services environment.
• Proficiency in Microsoft Office Suite, including:
o Excel: Intermediate to advanced (data entry, formulas, pivot tables, charts, and reporting).
o Outlook: Strong email and calendar management skills.
o Word and PowerPoint: Ability to create and format professional documents and presentations.
• Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
• Excellent written and verbal communication skills, with a strong customer service orientation.
• Ability to analyze data, generate accurate reports, and maintain detailed records.
• Familiarity with field operations or water utility systems preferred.
• Valid New Jersey driver’s license.
• Availability for after-hours, weekend, and holiday dispatching on a scheduled or call-in basis.
Compensation & Benefits:
• Salary Range: $55,355 – $83,034 annually, based on experience and qualifications.

ADA / Physical and Environmental Requirements:
• This position operates in a professional office environment and routinely uses standard office equipment, including computers, phones, photocopiers, and filing cabinets.
• While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee is frequently required to stand, walk, use their hands to handle or feel, and reach with their hands and arms.
• The employee must occasionally lift and/or move up to 25 pounds.
• Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work Authorization & Pre-Employment Requirements:
Candidates must be authorized to work in the United States. All candidates must successfully pass a drug screen, pre-employment physical, background check, and possess a valid driver’s license in good standing (if required for the position).
