    Utilities Board Administrator

     

    Colorado Springs Utilities is seeking a detail-oriented, outgoing, personable multitasker with excellent written and oral communication skills to serve as our next Utilities Board Administrator. This person will provide support to the Utilities Board Members (City Council) and will work closely with our Executive Leadership Team.

    A day in the life as a Utilities Board Administrator:

    + Serve as the primary point of contact for Colorado Springs Utilities to facilitate communication with the Utilities Board from the CEO, leadership, or the organization.

    + Upload City Council information into Legistar, ensuring all applicable documents are accounted for, and exercise independent judgment to make sure that the correct information is being shared.

    + Condense presentation key points and refine Board Member and UPAC member dialogue into succinct, effective, and accurate minutes for monthly Utilities Board meetings, Working Committee meetings, and Utilities Policy Advisory Committee (UPAC) meetings.

    + Curate content for the Weekly Comm email to the Utilities Board. Upload content to the Staffbase software and send an email to the Utilities Board Members every Friday.

    + Write stories for Utilities Board Members’ monthly newsletter(s).

    + Administer the TRAC (Timeline Recording & Agenda Coordination) tool, ensuring all employees have access to the necessary information about upcoming meetings.

    + Communicate with Linx, BoardRoom technology vendor, on the status of meetings.

    + The issuance of new contractor badges and access to the audiovisual room for contractors and employees.

    + Secure invocation speakers for monthly Utilities Board meetings.

    + Receive requests for information from Utilities Board members, solicit responses, provide responses to Board Members, track responses in the UB Tracker tool, and prepare reports monthly for use during Board briefings.

    + Perform high-level assistant functions, including managing all calendar invites for monthly Utilities Board Meetings, Executive Session meetings, Working Committee, Utilities Board Member/CEO briefings, and one-off meetings.

    + Exercise frequent independent judgment in resolving issues; investigate, delegate, and/or respond to escalated internal and external complaints.

    + Speak during Utilities Board meetings from the dais to include calling the roll, conduct voice votes on Utilities Board decision items, assist the Board Chair to ensure meeting topics are addressed in order, and report out the Summary of Board Actions at the end of each Board meeting.

    + Specialize in the Board and Board Committee governance process, policies, Utilities Board Bylaws, and procedures

    + Ensure consistency in format for submitted materials to generate cohesive, concise packages for distribution and or presentation to the Board across multiple platforms.

    + Distribute “UB Comm” emails to Board Members promptly on an as-needed basis.

    + Control meeting room audio/visual operation before, during, and after meetings

    + Test and troubleshoot A/V systems in advance of meetings

    + Assist presenters

    + Manage sound levels in Microsoft Teams

    + Maintain awareness of necessary ADA accommodations for Utilities Board and/or Leadership Team members.

    + Create, troubleshoot, and maintain relevant databases and system applications to aid the Utilities Board Governance Process.

    + Manage the distribution of meeting materials and presentations to the Utilities Board and Utilities Board Working Committee in compatible formats.

    + Upload UPAC meeting agenda packets, Working Committee agenda packets, Utilities Board meeting agenda packets, and special meeting agenda packets

    + Record Working Committee meetings; edit the video, and upload it to csu.org.

    + Ensure meeting components fit together in an extremely complex, demanding environment

    + Lead the process for consistency, and work with departments/individuals to ensure materials flow through the eight-week governance process from Leadership to the Working Committee, Utilities Board, and City Council.

    + Determine the agenda order of the monthly Utilities Board and Working Committee meeting to shape the meeting flow.

    + Submit compliant notices to the City Clerk’s Office of all Board and Committee meetings, special meetings, special tours, and events where three or more Board Members may be present.

    + Maintain a Purchase Card (P-Card) for the department and perform reconciliation in strict adherence to policy and procedures.

    + Process travel requests for the department.

    Who You Are:

    + Related experience supporting Boards of Directors or serving as an Executive Assistant is preferred

    + The ability to work closely with elected officials and keep the information confidential

    + A Bachelor’s degree in Board or Corporate Governance, Business, Government Affairs, Political Science, Communications, Journalism, or a closely related field is preferred

    + An equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities may be accepted instead of the experience requirement

    + Proficiency in Microsoft Office, SharePoint, and Outlook is highly preferred

    + The capability of thinking quickly on your feet and advising the Utilities Board Members of the correct course of action based on the Utilities Board’s Bylaws and the Excellence in Governance Manual in the Working Committee meeting and at the monthly Utilities Board meeting

    + An excellent writer and editor

    + An extremely detail-oriented individual

    + An excellent written and oral communicator

    + Someone who knows how to prioritize their work and will always meet deadlines, helping others around the organization to meet their deadlines as well
