This position exists to assist and execute administrative aspects of the Security Division; to provide clerical services to the Security Captain, Lieutenants, and Program Staff. To keep accurate, retrievable records and information for the purpose of maintaining computerized and other systems required for Security Division to run smoothly. This position has access to classified security information, data privacy issues, and executive level administrative issues.
This position has some contact with Incarcerated Persons.
Responsibilities include but are not limited to:
+ Provide independent, confidential, administrative office management services to the Captains, Lieutenants, and Program Staff.
+ Maintain effective flow of external and internal communications relating to messages, meetings, staff, offenders, and outside agencies.
+ Develop, review, revise, and maintain the Security Division operating manuals according to ACA Standards.
+ Process all Admittance Authorization and Open Admittance Forms for staff, contractors, volunteers, and visitors to ensure security is maintained and public relation responsibility and procedures are followed.
+ Obtain, read, and interpret confidential criminal history information on individuals(s) requesting entrance into the facility, new (contract employees and volunteer/resource staff) for all MCF-Rush City institution administrators/supervisors to ensure security of the facility.
+ Provide independent, confidential technical services for the Facility Scheduler.
+ Develop and maintain the Facility's Pull-Down, Slider Access, No Call/No Show, and Tardy Electronic Tracking Systems for the watch Commanders/Lieutenants.
Minimum Qualifications
To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. + English speaking skills sufficient to communicate effectively with a wide variety of individuals, including supervisors, probation agents, court administrators, law enforcement and DOC employees.
+ Skills in using business grammar, spelling, and punctuation to write, develop and edit reports, letters, procedures, presentations and other documents.
+ Skills in typing/keyboarding using Microsoft Word sufficient to draft letters, memos, and reports.
+ Skills in data entry sufficient to enter client information into database systems, such as CSTS, Chrono Database, Statewide Supervision System (S3), Correctional Operations Management System (COMS) and Bureau of Criminal Apprehension (BCA).
+ Skills in database management sufficient to maintain, update, and retrieve information from database systems, such as CSTS, Chrono Database, S3, COMS, and BC
+ Skills in customer service sufficient to provide prompt, courteous, and accurate information to customers over the phone and in person.
Preferred Qualifications
The following qualifications are strongly desired of applicants seeking consideration for this position:
+ Two or more years post-secondary education.
+ Experience entering data into database systems such as CSTS, Chrono Database, S3, COMS and/or BCA.
+ Experience working in a criminal justice setting.
+ Experience working in an office/clerical setting.
+ Experience related to court administration, which includes the review of criminal court documents.
Physical Requirements
The completion of pre-placement physical components may be required for this position. These components may consist of a tuberculosis screening, commercial drivers license (CDL) drug test, and/or respirator clearance. Additional Requirements
The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.
