DEFINITION OF WORK
This is a highly responsible administrative assistant position involving confidential, complex, and time-sensitive work.
Candidate serves as the private administrative assistant to Judge Stephen Hill and Judge Jacy Hurst of the Kansas Court of Appeals, and District Judges sitting by designation as assigned to the Kansas Court of Appeals. A qualified candidate must communicate effectively, read and edit materials with detail and consistency, manage their time well, be organized, be able to prioritize tasks, solve problems consistent with outlined expectations, and be willing to learn new tasks and processes.
The incumbent serves at the discretion of the appointing Judges.
EXAMPLES OF WORK PERFORMED
(Any one position may not include all the duties listed, nor do the examples cover all required duties .)
+ Edits, organizes, and revises written materials for grammar, substance, accuracy, and legal citations. Circulates and prepares opinions for filing consistent with required formatting and other standards.
+ Performs elementary research and reviews specified legal citations to determine accuracy of citations and written material.
+ Reviews trial and appellate record to check for citation accuracy and narrative in written material.
+ Sets up case files, accurately maintains case records and briefs; prepares indices and other generalized reports.
+ Performs administrative tasks on behalf of the Judges including calendar maintenance, presentation preparation, expense tracking and reimbursement, work-related travel arrangements, coordination with other offices and chambers, event preparation, and prepares and distributes information to assist judges with administrative and procedural duties.
+ Reviews, organizes, and tracks motions filed with the court and coordinates motion review with Judges, Director of Special Programs, or Motions Panel as required.
+ Transcribes, edits, or otherwise prepares letters, routine orders, opinions, and other correspondence for the Judges’ review.
+ Manages office administration related to supplies, files, statistics, records, and other activities as requested and directed
+ Communicates with judicial administrative offices and staff to ensure the ongoing workflow of the Judges’ Chambers.
+ Creates and Maintains the Judges’ case record and the Chambers’ law library, including filing and indexing of volumes, supplements, and periodicals.
+ Performs related work as required.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
Graduation from high school with at least five years administrative, clerical, legal or equivalent experience. Must have knowledge and proficiency with word processing programs.
PREFERRED EDUCATION AND EXPERIENCE REQUIREMENTS
+ College level course work or completed associate or bachelor’s degree.
+ More than five years of administrative experience.
+ More than two years of legal experience including legal writing and citation.
NECESSARY SKILLS
+ Excellent attention to detail
+ Ability to effectively communicate orally and in writing, and to understand directives.
+ Exceptional time management skills
+ Ability to effectively work with staff across multiple offices, departments, or organizations.
+ Knowledge of and ability to manage modern office practices, procedures, systems, and equipment including operation of computer, scanner, copier, and printer
+ Ability to perform elementary research of legal citations including use of legal search engines
+ Ability to make moderately complex decisions in accordance with established policies and procedures
+ Ability to maintain administrative, fiscal, and general records, prepare reports, and obtain information from appellate records
+ Ability to compose correspondence on relatively complex matters
+ Ability to effectively and efficiently work independently with little supervision to accomplish tasks.

Remote work contemplated after initial training time and at the discretion of appointing
Judges.
