The Department of Natural Resources is seeking to fill one (1) full-time Office and Administrative Specialist Senior to work in the Operations Services Division (OSD) located in New Ulm, MN. This position provides support, information, research, analysis, and coordination for OSD. This position primarily provides critical office and business management functions and administers the procurement activities for the South Region Fleet program. This oversight includes support and insight to staff members in all Divisions in the South Region so that Fleet programs can be implemented effectively and efficiently. This includes assuring that all administrative processes and procedures are followed and budgets are monitored.
Minimum Qualifications
+ Communication skills sufficient to generate readable and accurate written material (e.g. information and instructional materials, letters, memos, and reports) free of spelling and grammatical errors.
+ Ability to manage an office or work area by planning, organizing, administering, and directing the work of other employees.
+ Skill in word processing sufficient to use software such as, Microsoft Word to type and format letters, memos, reports, and minutes of meetings, etc.
+ Ability to create presentations, tables, charts, and/or graphs from word processing software.
+ Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy.
+ Skill in database management sufficient to develop tables and manipulate, retrieve, and analyze data.
+ Accounting / budgeting skills sufficient to review, track, analyze, and prepare financial summaries and reports.
+ Ability to design and maintain recordkeeping systems.
+ Ability to present information to diverse customers.
Preferred Qualifications
+ Three (3) years' experience in an advanced administrative support role.
+ An associate's degree in business, finance, administration, operations, fleet or shop management.
+ Experience with Microsoft Office Suite, (i.e. Word, Excel, Outlook, and Access) at an advanced level sufficient to compose, create, modify, and publish documents and materials.
+ Knowledge and proficiency in SEMA4 and the SWIFT accounting system
+ Knowledge of procurement processes.
+ Organizational skills to facilitate the creation of recording systems.
+ Knowledge of the DNR's Operations Services Division's MR / Fleet Unit policies, practices, and procedures.
+ Lead work skills sufficient to manage work through others to achieve Management Resource objectives.
