    Description

    Wheeler Machinery Co. is seeking a sharp, organized, and tech-curious IT Solutions & Automation Specialist to support, test and optimize several enterprise software platforms, including Procore, NYFTY, and other project management tools used by the special projects team within Power & Energy division. This role involves designing and testing processes, developing automation workflows using Microsoft Power Automate, leveraging AI agents for document sorting, and ensuring seamless integration across systems. The ideal candidate is a tech-savvy problem solver with experience in construction/project management software and automation technologies to support the Special Projects team. This role is an opportunity to learn how large-scale construction and power-generation projects run behind the scenes—through Procore, Microsoft Teams, and company financial systems including Coda, Avid, and Microsoft Dynamics through tightly aligned workflows.

     

    This position is ideal for someone interested in project controls, construction operations, or construction technology. This IT Solutions & Automation Specialist must maintain appropriate access for all subcontractors and internal staff for multiple projects simultaneously, and at different stages of completion. It is critical that the person in this role works well with both internal staff, and external contractors and customers.

    Duties and Responsibilities

    + Configure, maintain, and troubleshoot Procore workflows and integrations.

    + Ensure data accuracy and compliance within project management systems.

    + Develop and test tools and processes to improve operational efficiency.

    + Evaluate new technologies and recommend solutions for Special Projects.

    + Design and implement automation workflows using Microsoft Power Automate.

    + Streamline repetitive tasks and improve data flow between platforms.

    + Utilize AI agents to sort, classify, and organize project documents.

    + Implement intelligent solutions for document control and retrieval.

    + Manage NYFTY and other specialized software used in Special Projects.

    + Ensure interoperability between systems and maintain security standards

    + Prepare project status snapshots for the weekly coordination meeting (RFIs, Punchlist, Observations, Action Plans).

    + Capture meeting notes, update action items, and revise trackers after meetings.

    + Help identify examples of outstanding Procore usage for weekly recognition.

    + Implement SMART goals and individual learning, training, and development plans each year.

    + Contribute to company’s industry-leading safety culture and track record through various activities including daily use of TRACK cards, periodic safety audits, creation of safety training materials, and so forth.

    + Perform other duties as assigned.

    Qualifications

    + Unwavering commitment to safety and track record following safe work practices.

    + High school diploma; Some college/technical vocational training or equivalent experience

    + Procore certification complete for both “Project Manager” and “Admin” roles. Commitment to maintain and increase that training as needed.

    + Superb organizational skill—with the ability to manage schedules and ensure critical path items are completed on time, as well as within budget.

    + Strong knowledge of Procore administration and integrations.

    + Experience with Microsoft Power Automate and workflow automation.

    + Familiarity with AI tools for document management and classification.

    + Understanding of construction/project management processes.

    + Proficiency in troubleshooting and testing software tools.

    + Excellent problem-solving and communication skills.

    + Team builder – people need to respect you and like to work with you; ensure coworkers, subcontractors and other 3rd parties are adhering to company standards and expectations.

    Preferred Experience:

    + Background in IT or software engineering with exposure to construction tech.

    + Knowledge of APIs and system integrations.

    + Experience with cloud-based platforms and data security best practices.
