Description
General Summary:
Serves as the primary customer contact for integration, radio test systems, and other product lines as assigned by the department Manager and Director. Responsible for quotes working extensively with the Sales or bid capture managers. Builds and maintains customer relationships through ongoing communications on order status and order inquiry resolution. Performs order entry functions for integration, P&D items and US Government contracts. Assists in the review, draft, and execution of other types of agreements as assigned and supported by the Contracts Director. Additionally, collaborates with the supply chain on the administration of purchase order terms and conditions in accordance with company policies, and finance organization on the administration of commission schedules for domestic outside manufacturers’ representatives. Follows all Astronics Test Systems’ policies and procedures.
Principal Duties and Responsibilities:
+ Ensures proper quoting and order entry for new purchase orders for integration, P&D items and US Government purchases.
+ Performs ongoing updates to customer database covering new orders, scheduled shipment dates and tracking numbers for order fulfillment.
+ Maintain and update various customer’s site.
+ Manages the quoting process for customers.
+ Maintains files and documentation on quoting and order activities.
+ Monitors and maintains customer’s portals and certifications
+ Monitors product delivery schedules and communicates with customers regarding changes to customers purchase orders, such as delivery date, out of scope requirements, quantity and or pricing changes.
+ Assures that all quotes are issued to customers in accordance Astronics Test Systems' policies.
+ Creates, reviews, and assists in the timely execution of Non-Disclosure Agreements and other agreements as assigned and supported by the Director of Contracts
+ Reviews, redlines, attends meetings as necessary to support the negotiation process between ATS and customers and/or suppliers.
+ Coordinated, prepares, and submits Requests for Proposal (RFP), and Requests for Quotation (RFQ) packages, ensuring accuracy, completeness, and compliance with customer and USG requirements.
+ Updates the agreement database to reflect pertinent details in accordance with the Contracts department policies and procedures.
+ Provides export compliance support with oversight, ensuring adherence to applicable ITAR/ EAR regulations, internal procedures, and documentation requirements throughout the order and fulfillment process.
Job Specifications:
Bachelor's degree or typically 8 or more years' related work experience with customer service, commercial and USG contracts administration. Working knowledge and completed coursework related to FAR/DFARS provisions. Certified Federal Contracts Manager (CFCM) or documented efforts to achieve such certificate in the near future. Must have competencies in basic Microsoft office software including Excel and Word.
