Job Description

The Supervisor of Elections Department is actively seeking one (1) Election Assistant II.

This is entry level clerical support work in the registration of voters, processing, and maintenance of voter registration records. Work requires knowledge of uninvolved standardized work routines of election laws, regulations and procedures, and office practices and procedures. Contacts require courtesy, tact, and effectiveness in dealing with others, and include contacts to request or provide information, ask questions, and/or obtain clarification. The work is performed following established routines, standing instructions, and established procedures, but some variation in the sequence and choice of procedures used is permitted based on situations encountered in the workplace. The work is patterned involving similar situations and generally requiring only the choice of the correct procedure. Work is normally performed in an office environment though the employee may be required to deliver or pick-up mail, documents, supplies or materials. Operates standard office equipment such as personal computer. The physical demands consist mainly of moving from one work location to another, sitting, or standing at a workstation for extended periods of time and dependent upon assigned work location, may be required to lift objects weighing up to twenty (20) pounds. The work is performed under general supervision where the work assignments are subject to instructions and established work routines, and the worker is given latitude to rearrange the sequence based on changing work situations or workflow.
Examples of Work
+ Provides registration and voting information in response to telephone inquiries.
+ Receives, processes, records, indexes and/or files varied materials, files documents, and records regarding voter registration application and forms; enters absentee ballot requests.
+ Assists with post-elections processing and canvassing board responsibilities.
+ Gathers information and assists the general public in completing required forms and documents.
+ Reviews documents and files for completion and accuracy and routes to proper sources.
+ Establishes and maintains information, records, documents, and file systems.
+ Operates standard office equipment such as personal computer using word processing, spreadsheet, database, and other related software and required voting equipment.
+ Picks up and/or delivers a variety of mail, documents, materials, and supplies which may require operation of a motor vehicle.
+ Demonstrates proficiency in the City of Jacksonville’s competencies.
+ Performs related work as required.

Open Requirements/Supplemental Information
+ Ability to read, write and communicate in English.
+ One (1) year of education and/or experience in clerical work - preferred.
+ Experience in an election office - preferred.
LICENSING/CERTIFICATION/REGISTRATION:
+ Depending on assignment, must possess and maintain a valid driver’s license during employment in this class.
+ Must qualify for, obtain, and maintain a City of Jacksonville public driver certification for employment in this class.
OTHER REQUIREMENTS:
+ The probationary period for this classification is six (6) months.
