    Job Description

    SUMMARY

    We are seeking a highly organized and professional Receptionist to support our corporate office’s Front Desk morning shift. This role is ideal for someone who thrives in a fast-paced environment, has excellent communication skills, and enjoys being the first point of contact for both internal and external visitors. This is an on-site, Part-time position, Monday to Friday from 8:00 AM to 1:00 PM.

    ESSENTIAL FUNCTIONS, RESPONSIBILITIES, AND DUTIES

    Front Desk & Visitor Management

     

    + Answer and transfer calls using Microsoft Teams, ensuring a professional and welcoming first impression.

    + Greet and assist visitors, contractors, job applicants, and delivery drivers.

    + Manage visitor sign-in, issue badges, and maintain security protocols.

     

    Mail, Packages & Shipping

     

    + Receive, sort, and distribute daily mail and packages.

    + Create shipping labels and coordinate pickups through FedEx.

    + Maintain delivery logs and ensure timely notification of recipients.

     

    Administrative & Financial Support

     

    + Code and process invoices accurately.

    + Maintain organized filing systems (digital and paper).

    + Assist with office supply orders, postage machine management, and referral bonus tracking.

     

    HR & Employee Support

     

    + Manage front desk and HR inboxes in Outlook, forwarding and flagging messages as needed.

    + Prepare employment verification letters and process unemployment claims.

    + Coordinate ID/access badge creation for new hires and replacements.

    + Support HR administrative tasks such as mailings, I-9 tracking, and other projects, as assigned.

     

    Payrate: $20 per hour

    Requirements

    Education

    + High School Diploma or GED required.

    + Associate degree preferred.

    Experience

    + 1–2 years of experience in reception, administrative support, customer service, or HR support preferred.

    + Experience in a corporate office or HR environment a plus.

     

    Technical Skills

     

    + Proficiency in Microsoft Office Suite (Outlook, Word, Excel).

    + Ability to learn HRIS systems, phone system functions, and visitor management tools.

    + Experience with FedEx/UPS shipping platforms preferred.

    WORK ENVIRONMENT AND OTHER DETAILS

    Expected Hours of Work:

    This is a Part-Time, Non-Exempt position. Standard hours are Monday–Friday, 8:00 AM–1 PM, with occasional adjustments based on front desk coverage or business needs. Evening and weekend work is not typically required.

    Travel Requirements:

    Minimal travel may be required on an as-needed basis; however, travel for this position is not typical and, when necessary, would be limited to local, same-day trips.

    The work is performed primarily in a company or home-office setting. The noise level in the company work environment is moderate.
