As the Purchasing Coordinator, you will directly influence production efficiency, profitability, and customer satisfaction by ensuring we have the right materials, at the right time, at the right cost. Position Overview The Purchasing Coordinator manages the full procurement lifecycle—special orders, inventory levels, vendor communication, cost control, and pre-installation readiness. You’ll work closely with sales, engineering, production, installers, and leadership to ensure projects run smoothly from design to installation. This role is ideal for someone who loves creating order, solving problems, and building strong vendor partnerships while supporting a high-performance production environment. Key Responsibilities Operational Excellence * Ensure all special-order materials are identified, ordered, and delivered on time to meet production and installation deadlines. * Maintain optimal inventory levels and proactively prevent shortages or delays. * Update and maintain product specifications for accuracy in manufacturing. * Host periodic training touchpoints with the sales team to introduce new products, pricing updates, and usage guidelines. * Assist leadership in evaluating pricing, negotiating competitive agreements, and sourcing alternative suppliers for cost-effective or emergency fulfillment. Inventory & Order Management * Enter and track purchase orders in our software systems with precision and timeliness. * Maintain accurate digital records for suppliers, POs, receipts, and material condition. * Verify incoming materials—including style, color, quantity, and quality—before approving for use. * Confirm all required materials are available prior to job release into production. * Organize special orders by job and use established checklists to ensure full readiness before installation day. Customer & Vendor Relations * Provide product/material support to designers and address customer-related inquiries with professionalism and urgency. * Identify viable alternative suppliers or product substitutes proactively in the event of shortages, backorders, or discontinuations. Cross-Department Collaboration * Work closely with sales, engineering/cut-list, and management to ensure correct material selections and accurate specifications. * Assist ownership with market research, cost analysis, and long-term procurement strategy. * Participate in meetings to stay up-to-date on new materials, product lines, industry trends, and color/finish updates. Qualifications * Strong organizational, communication, and negotiation skills. * Experience with purchasing, supply chain, or inventory management preferred. * Familiarity with ClosetWare, PurchaseTrac, or similar systems is a plus. * High attention to detail with strong analytical and problem-solving abilities. * Ability to work cross-functionally with multiple departments and manage multiple priorities simultaneously. * A proactive mindset with the ability to anticipate needs before issues arise.
