Job Description:
+ The Intake Specialist supports the Patient Assistance Program (PAP) by performing initial triage of patient applications, completing data entry, and coordinating workflow based on established business rules. This role requires strong attention to detail, efficiency, and the ability to multitask in a fast-paced environment that may require flexible scheduling and occasional mandatory overtime.
Responsibilities:
+ Complete intake and processing of all patient applications into the Customer Relationship Management (CRM) system.
+ Associate and tag all patient-related images and accurately enter demographic, physician, medication, income, household, and insurance information into the CRM.
+ Perform initial assessment of applications to identify missing or incomplete information.
+ Conduct outreach to patients to obtain required documentation or data.
+ Complete initial assessments of simplified applications to determine next steps.
+ Route applications and cases appropriately based on business rules and workflow guidelines.
+ Collaborate cross-functionally to ensure adherence to established policies and business processes.
+ Maintain thorough documentation of all patient interactions and case updates in accordance with policies.
+ Conduct renewal and year-end recertification processes as required by the Client’s Patient Assistance Program.
+ Assist with special projects as assigned to support operational improvements and reimbursement optimization.
+ Manage incoming and outgoing mail related to patient cases.
Experience:
+ 1–3 years of experience in an office, administrative, customer service, or data-entry environment required.
+ Experience working with medical or pharmacy insurance benefits is a plus.
+ Prior work with CRM systems or case management tools preferred.
Skills:
+ Quick learner with the ability to adapt to changing workflows.
+ Highly efficient and detail-oriented.
+ Strong written and verbal communication skills.
+ Ability to redirect tasks or priorities quickly when operational needs change.
+ Proficient computer skills, including navigating multiple systems and typing accurately.
+ Strong customer service mindset and ability to work independently with minimal supervision.
Education:
+ High school diploma or equivalent required.
+ College coursework or a 2-year Associate Degree is preferred.
