    Facilities Coordinator

     

    The Facilities Coordinator provides day-to-day support for workplace operations, helping to ensure that offices remain safe, clean, and functional. This entry-level role is focused on responding to facility-related service requests, coordinating with vendors for routine maintenance, and assisting with mailroom duties as needed. The Facilities Coordinator works closely with the Corporate Services Operations Manager and Regional Facilities Manager to deliver a positive and efficient workplace experience.

    Key Responsibilities and Duties

    + Monitors and responds to facility service tickets, such as requests for cleaning, lighting, HVAC issues, parking, or minor repairs.

    + Supports basic workplace projects or moves under the guidance of the Corporate Services team.

    + Logs service requests and tracks status to ensure timely resolution and follow-up.

    + Communicates with employees to provide updates on ticket progress and completion.

    + Schedules service appointments with approved vendors for routine maintenance and repairs.

    + Meets vendors on-site as needed to provide access and ensure work is completed as scheduled.

    + Helps onboard new vendors by gathering required documents and scheduling site visits.

    + Keeps vendor contact lists and service records up to date.

    + Conducts basic site walk-throughs to check for cleanliness, safety concerns, or maintenance needs.

    + Assists with setting up workspaces or conference rooms for new employees or meetings.

    Educational Requirements

    + University (Degree) Preferred

    Minimum Qualifications

    + 2+ year of experience in a customer service, administrative, or facilities support role.

    + Basic knowledge of office operations and building maintenance processes.

    + Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

    + Strong organizational skills and attention to detail.

    + Ability to communicate effectively with employees and vendors.

    + Reliable and punctual with the ability to manage multiple tasks in a fast-paced environment.

    Preferred Qualifications

    + Associate degree or coursework in Facilities Management, Business Administration, or related field (highly preferred)

    + 3+ years of experience in facilities coordination or workplace operations.

    + Familiarity with service ticketing systems and vendor management.

    + Knowledge of basic safety standards and building compliance requirements.

    + Experience coordinating office moves or small workplace projects.

    + Strong problem-solving skills and ability to work independently with minimal supervision.
