    Description of Work Unit

    The Office of Engagement and Extension ( OEE ) is a dynamic catalyst for learning, discovery, and impact across Colorado, the United States, and worldwide. As Colorado State University’s front door to the world, OEE is evolving to meet the changing needs of learners, communities, and industries through bold, accessible, and forward-thinking approaches. With a mission rooted in CSU’s land-grant heritage and vision aligned with CSU’s Strategic Roadmap, OEE encompasses CSU Extension, CSU Learning Innovation Team (including CSU Online, CSU Professional Education, CSU Extension Programs, and OLLI ), the Colorado Water Center, and other high-impact programs.     Position Summary

    The Program Coordinator of Discovery and Design for Learning Innovation is the connective tissue of the learner experience and team operations. Their work is detail-oriented, purpose-driven, and foundational to the success of our initiatives. Often the first to identify emerging needs and respond to inquiries, they provide a consistent, reliable presence that enables both people and programs to move forward seamlessly.

     

    Within the Discovery and Design Learning Innovation Team, the Program Coordinator is engaged throughout the entire learning lifecycle—from initial discovery to post-launch reflection.

     

    Responsibilities include supporting the Senior Program Managers and the Portfolio Manager in executing high-impact learning initiatives across CSU’s Learning Innovation Team. This role ensures smooth day-to-day operations by managing timelines, coordinating meetings, maintaining documentation, and facilitating communication across internal teams and external partners. The coordinator plays a key role in tracking program milestones, supporting partner onboarding, and ensuring quality and consistency across portfolios. With strong organizational and communication skills, the Program Coordinator helps drive efficiency, responsiveness, and alignment across the team’s dynamic and growing portfolio of programs.

    Required Job Qualifications

    + Bachelor’s degree (or High School Diploma/ GED plus equivalent combination of education and experience).

    + Minimum of 2 years of relevant experience in program coordination, logistics, operations, or administrative support.

    + Demonstrated ability to:

    + Manage multiple tasks with attention to detail.

    + Communicate effectively across teams.

    + Use tools such as spreadsheets, data systems, or content platforms.

    + Follow established procedures and improve them when possible.

    + Model reliability, resourcefulness, and service mindset in every interaction.

    + The successful candidate must be legally authorized to work in the United States by the proposed start date; the Learning Innovation Team will not sponsor a visa for this position.

    + Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.

    Preferred Job Qualifications

    + Experience working in an educational, nonprofit, or learner-centered environment.

    + Familiarity with customer relationship management ( CRM ), learning management systems ( LMS ), or digital badging tools.

    + Capacity to work independently, problem-solve, and ask thoughtful questions that improve outcomes.

    + Interest in expanding professional responsibilities and exploring career growth pathways.

    + Experience with project management software.

    + Ability to manage multiple projects, prioritize, work independently, and meet deadlines.

    + Monitor Progress Across Portfolios: Assists Senior Program Managers and Portfolio Manager in tracking the status of initial, on-deck, in-development, active, and legacy programs.

    + Maintain Program Documentation: Organize and update shared folders, project plans, and communication logs to ensure transparency and accessibility.

    + Support Meeting Coordination & Follow-Up: Schedule and prepare materials for internal and partner meetings; document action items and ensure timely follow-through.

    + Track Program Timelines & Milestones: Support Senior Program Manager and Portfolio Manager in maintaining detailed schedules for multiple programs across portfolios, ensuring deadlines are met and dependencies are managed.

    + Support Data Entry & Quality Assurance: Input and verify program data for reporting accuracy and consistency across systems.

    + Program Execution Support: Assists Senior Program Managers and Portfolio Manager with day-to-day tasks to ensure smooth execution of learning programs across portfolios.

    + Process Documentation: Proactively assess and identify documentation needs across all functional areas of the team to support operational efficiency and knowledge management.

    + Internal Communication and Updates: Draft internal updates and summaries for team meetings, project check-ins, and cross-functional coordination.

    + Partner Communication: Supports the Portfolio Manager and Senior Program Managers with documentation related to partner pipelines and program status.

    + Team Documentation: Promotes consistency and accuracy in team documentation by implementing regular review cycles and maintaining upto-date, standardized materials.

    + Meeting Support: Assist in preparing agendas, meeting notes, presentation decks, and partner-facing materials.

    + Internal Systems Support: Help maintain and update internal systems such as project management tools, shared drives, and other applicable platforms.

    + Provide strategic and administrative support to the Sr. Program Managers and Portfolio Manager across multiple operational areas, including team scheduling, internal communications, project tracking, and overall visibility.

    + Perform additional responsibilities that advance team initiatives, as assigned by the Director of Discovery and Design for Learning Innovation.
