The UW Pediatrics, Center for Indigenous Health has an exciting opportunity for an** **_Hourly_** **,** **_Part-Time_** **,** **_Temporary_** **Administrative Assistant (Administrative Assistant 2 (NE H NI SEIU 925 Non Supv)) to join their team.
This is a 12-month hybrid position with the possibility of extension. The role is hourly, estimated at 20 hours per week, and is eligible for benefits. It requires 8 in-office hours on Tuesdays and Thursdays, along with 4 remote hours during business hours either Monday, Wednesday, or Friday, based on the employee’s preference and business need.
POSITION PURPOSE
The Center for Indigenous Heath aims to foster a sense of community among Indigenous physicians and learners and works to increase the number of Indigenous physicians in Washington State by inspiring the younger generations to pursue a career in medicine.
The Administrative Assistant will provide comprehensive administrative support to the UW Medicine **Center for Indigenous Heath** (CIH) Director, Manager, and Engagement Coordinator. This role is essential in helping implement the Center’s core activities and assists with maintaining communication with American Indian, Alaska Native, Native Hawaiian, and Pacific Islander medical and pre-medical students, UW School of Medicine faculty, and other stakeholders. The position also supports scheduling, event coordination, travel arrangements, and financial processing related to CIH programs and initiatives.
DUTIES AND RESPONSIBILITIES
+ Serve as initial contact and reception for CIH, providing information regarding CIH by receiving and referring callers or visitors, and responding to inquiries.
+ Assist CIH Team with scheduling both in-person and virtual meetings, using scheduling tools, for high level scheduling for medical doctors, CIH meetings, workshops, special events, and student events.
+ Monitor and maintain office equipment operations in collaboration with UW Pediatrics facilities staff.
+ Establish and maintain a prudent electronic record system, including a shared file system based on subject matter for efficient access and use for the CIH Staff.
+ Order, receive and maintain general office and program specific purchases.
+ Process travel requests and reimbursements forms for conferences, meetings and workshops, and other travel related costs for CIH faculty, staff, medical students, and pre-medical students.
+ Process honorariums for clinical faculty, visiting professors, or others.
+ Keep CIH informed when receiving notice from the Pediatric Finance Department or other UW Departments of new policies, procedures, and travel forms as they arise.
+ Maintain CIH List Serves for CIH Faculty, Residents, Fellows, and Medical Students.
+ Other duties as assigned relevant to the CIH (i.e., assist in organizing social events).
**MINIMUM REQUIREMENTS** :
+ Requires High School/GED and two years of office or administration support experience OR equivalent education/experience.
DESIRED QUALIFICATIONS:
+ Two-year degree.
+ Efficient with record keeping and attention to detail.
+ Experience working with Indigenous populations.
+ Excellent communication skills with ability to communicate across various generations and across cultural groups.
Compensation, Benefits and Position Details
Pay Range Minimum:
$21.28 hourly
Pay Range Maximum:
$27.63 hourly
