Purpose: Johnson & Johnson MedTech’s Heart Recovery business, home to the Impella® platform of heart pumps, is committed to advancing the standard of care for patients with heart failure and cardiogenic shock. We are seeking a Healthcare Professional (HCP) Engagement Coordinator to support our Physician Program Director and Professional Education teams within Healthcare Solutions. This role ensures a seamless, compliant, and high-quality experience for all HCP engagements—fostering meaningful collaboration, education, and innovation across the organization.
Key Responsibilities
Operational Excellence
+ Coordinate and manage logistics for HCP engagements, including Advisory Boards, Voice of Customer (VOC) initiatives, and Home Office Visits for physician consultants and external experts.
+ Serve as the central point of contact for scheduling, communication, and follow-up related to all physician engagement activities.
+ Partner with Legal, Compliance, Procurement, and Finance teams to ensure all HCP interactions meet Johnson & Johnson’s ethical and compliance standards.
Financial & Compliance Support
+ Oversee and process purchase orders (POs), contracts, and honoraria payments for physician consultants and participants in accordance with company policy.
+ Track and reconcile HCP-related expenses and deliverables to support accurate and timely reporting.
+ Ensure all engagements comply with Sunshine Act, AdvaMed, and other relevant regulatory reporting requirements.
+ Maintain documentation and audit-ready records for all HCP transactions and engagements.
Cross-Functional Collaboration
+ Work closely with the Physician Program Director Team, Professional Education, Marketing, and Field Leadership to align engagement activities with business objectives and customer needs.
+ Support coordination between regional and global MedTech teams to ensure consistency in process and messaging across all engagement touchpoints.
Process and Systems Management
+ Oversee and maintain databases, dashboards, and documentation related to HCP engagement (including contracts, deliverables, payments, and reporting).
+ Identify and implement process efficiencies to streamline event planning, approvals, and execution of advisory and educational programs.
+ Support integration of digital tracking and reporting tools to enhance visibility, accuracy, and compliance.
Experience & Event Support
+ Ensure that every HCP interaction—whether virtual or in person—reflects a premium, patient-centric experience consistent with the Heart Recovery brand.
+ Partner with meeting planning and field operations teams to deliver best-in-class logistics, communication, and hospitality for visiting HCPs.
Qualifications
+ Education: Bachelor’s degree required (Business, Communications, Finance, Healthcare Administration, or related field preferred).
Experience: Minimum 3+ years of relevant experience in HCP engagement coordination, project management, event logistics, or financial processing within the MedTech or Pharmaceutical industry.
+ Familiarity with HCP payment processing, PO creation, honoraria management, and Sunshine Act/Transparency reporting required.
•Skills:
+ Strong organizational and project management skills with high attention to detail and accuracy.
+ Excellent communication and interpersonal skills to collaborate across diverse teams and with external physician partners.
+ Proficiency in Microsoft Office Suite and systems such as Veeva, CVENT, Ariba, Concur, or other CRM/event management and financial platforms.
+ Ability to manage multiple priorities and deadlines in a fast-paced, matrixed environment.
The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year. Bonuses are awarded at the Company’s discretion on an individual basis.

+ Vacation –120 hours per calendar year
+ Sick time - 40 hours per calendar year; for employees who reside in the State of Washington –56 hours per calendar year
+ Holiday pay, including Floating Holidays –13 days per calendar year
+ Work, Personal and Family Time - up to 40 hours per calendar year
+ Parental Leave – 480 hours within one year of the birth/adoption/foster care of a child
+ Condolence Leave – 30 days for an immediate family member: 5 days for an extended family member
+ Caregiver Leave – 10 days
+ Volunteer Leave – 4 days
+ Military Spouse Time-Off – 80 hours
