About the Role
The role of the Service Operations Administrator is to support the Service Operations Manager in driving operations initiatives. This individual will work cross-functionally with several groups in the organization (including sales, operations, finance, accounting, RSG and HR) with the objective of driving processes for operations to be effective, analytically driven, and able to make strategic decisions.
The ideal candidate will have an analytical background, passionate about technology and process efficiency. In addition, the successful candidate will be developing and reviewing data to assist the Service Operations Manager and VP Operations implement best practices and lessons learned. The role will require the person to be intellectually curious, a fast learner, and able to adapt quickly to a changing environment while staying focused on priorities.
Day-to-day responsibilities include gathering all necessary data, compiling reports, while ensuring accuracy. The position will include administrative tasks, collaborating with key stakeholders and working closely with the Service Ops Manager.
What You’ll Do:
+ Help build and maintain resources and tools that create timely and efficient workflow.
+ Respond to ad hoc requests flowing into the operations group from other teams regarding reports, processes, requests for assistance, and general support.
+ Provide administrative support as needed from Operations Team.
+ Collaborate with all groups of the company including sales, operations, accounting, purchasing, and estimating.
+ Assist the Service Operations Manager in preparing business processes and reports.
+ Train the teams on business processes and reports.
+ Compile weekly forecast and profitability report for review and send new reports each week to Program and Project Managers.
+ Assist the Service Operations Manager with project financial forecast process and reporting.
+ Coordinate administrative needs that cover systems access and employee equipment with responsible departments.
+ Assist the Resource Services Group to develop and manage the technician and project management availability and needs projection.
+ Report to the Service Operations Manager as required.
+ Responsible for timekeeping and communication to payroll.
+ Responsible for arranging travel and expenses for field technicians.
+ Develop, implement, and update company’s administrative standard operating procedures.
+ Month-end outstanding expense tracking.
+ Month-end unassigned material invoice tracking.
What You’ll Need:
+ College degree or high school diploma with commensurate experience.
+ 2-4 years of previous operations experience and/or finance experience (or equivalent).
+ Proficient with MS Office Suite including Outlook, Word, Excel, and SharePoint.
+ Must have a minimum of 2+ years hands-on Excel knowledge in report building, pivot tables, V/XLOOKUPs.
+ Solid analytical and mathematical skills.
+ Organizational, time management and coordination skills across multiple disciplines preferred.
+ Meticulous attention to detail and a high level of accuracy.
+ Good communication and interpersonal skills.
+ Ability to multitask and thrive in a fast-paced environment.
+ Background in supporting operations with metric tracking, reporting, and process development/management.
+ Ability to take initiative, work flexibly, and set priorities with minimal direct supervision.
Disciplined attention to detail, highly organized and thorough.
+ Demonstrated ability to prioritize and manage multiple assignments with competing deadlines
