Summary
This position provides administrative support to Inspired Wealth Advisors (IWA). This role is critical to delivering an exceptional client experience and maintaining the smooth operation of our practice. The Office Professional is the first point of contact for clients and team members, requiring a friendly, upbeat demeanor and a commitment to excellence. Responsibilities include administrative support, client engagement, event planning and execution, process improvement, and operational tasks.

The Administrative Assistant reports to and is employed by Inspired Wealth Advisors.
Compensation: $18-$25/hour, Total compensation package varies based on experience and team performance.
Benefits: 10 days of personal paid time off plus 10 national paid holidays. Retirement plan (Profit sharing) available after 2 years. Medical Reimbursement Account Available, but no formal health benefits provided.
This is an on-site, in person position. Hours are 8:30 AM – 5:30 PM with 1-hour lunch, Monday–Friday.

Position Roles/Responsibilities/Accountabilities
+ Answer phones, greet clients, manage email and postal mail.
+ Schedule client appointments and maintain calendars.
+ Prepare correspondence, reports, and routine office documentation.
+ Plan, coordinate, and execute client appreciation events, educational workshops, and community engagement activities.
+ Manage event logistics (venue, catering, invitations, RSVPs, budgets).
+ Support marketing initiatives, including social media posts, email campaigns, and promotional materials.
+ Serve as a client concierge during events and ensure a seamless experience.
+ Assist with meeting prep and follow-up.
+ Handle dedicated planning renewals, scanning, and sending DocuSigns.
+ Organize client files and maintain compliance standards.
+ Open and close the office daily.
+ Maintain beverage center and tidy common spaces.
+ Restock supplies and ensure a welcoming environment.
+ Enter receipts and organize expenses.
+ Monitor event spending and track campaign performance in CRM/Salesforce.
+ Develop, document, and update standard operating procedures (SOPs) for recurring tasks and workflows.
+ Regularly review and recommend improvements to office processes and systems.
+ Other duties as assigned by financial advisors
Position Qualifications
Required:
+ Minimum 2 years of professional administrative support experience in a business, nonprofit, or client-facing environment
+ Strong project management and organizational skills; proven ability to coordinate multiple priorities and deadlines
+ Demonstrated initiative, assertiveness, and ownership in prior roles
+ Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), CRM systems, and social media platforms
+ Exceptional attention to detail and accuracy in all work
+ High integrity and ability to maintain confidentiality with sensitive information
+ Strong interpersonal skills and a positive, team-oriented attitude
+ Excellent written and verbal communication skills
Preferred:
+ 3+ years of administrative or office management
+ 1+ Years Event Planning
+ 1+ Experience with CRMs (eg. Salesforce), DocuSign, or similar platforms
+ Work experience in financial services, preferably at a wealth management or financial advisory firm
+ Experience with process documentation, SOP development, or process improvement projects

External/Internal Dependencies
+ Must be able to work with all roles of the IWA Team
+ Must be able to represent the organization in work with external clients
+ Must be able to cultivate and maintain relationships with outside organizations
As part of IWA's recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process. In addition, fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.
All persons with access to Wealthscape are deemed Access Persons and are subject to Compliance with the firm’s Code of Ethics which requires all outside brokerage accounts to be maintained at one of the firms designated by TIMI.
