    Job Summary:

    Under general direction of the Court Operations Manager, this full-time position will conduct a variety of specialized clerical, administrative and customer service duties that directly support the daily operations of Reno Municipal Court. This position is responsible for the performance of various functions, including, but not limited to, assisting the public, data entry, records management, and sentence compliance monitoring.

     

    Distinguishing Characteristics: The Court Specialist I performs the more routine and less complex assignments while learning Court policies and procedures. Positions at this level are not expected to function with the same amount of program knowledge or skill level as positions allocated to the Court Specialist II level and exercise less independent discretion and judgment in matters related to work procedures and methods. Work fits an established structure or pattern with exceptions or changes in procedures explained in detail as they arise.

     

    Supervision Received and Exercised: Work is normally reviewed in progress and upon completion of each assignment to ensure accuracy, timeliness, and conformance to established standards; autonomy is granted at the task level; work is subject to both general and departmental policies, procedures, and guidelines. This position exercises no supervision, guidance, and oversight to other positions.

     

    Examples of Essential Functions

     

    ESSENTIAL FUNCTIONS: -- Essential functions, as defined under the Americans with Disabilities Act, may include any of the following representative duties, knowledge, and skills. Essential duties and responsibilities may include, but are not limited to, the following:

     

    + Provide customer service to the public and court stakeholders at the counter, by phone, and virtually; answer questions regarding court procedures and general case processing; perform record searches; make and certify copies; scan documents; and establish partial payment plans.

    + Perform a full range of cashiering functions, including receiving and receipting payments, posting payments, bail, and bonds, counting and verifying funds, maintaining accurate daily cash receipts, and posting to computerized cash ledgers.

    + Review submitted legal documents for completeness, accuracy, required signatures, and compliance with court rules; determine appropriate processing steps and take action accordingly.

    + Monitor case files to ensure compliance with court orders, financial obligations, court dates, and program requirements; communicate with defendants by phone or mail to resolve issues; prepare and process non-compliance reports; and prepare warrant requests consistent with established procedures.

    + Accurately enter, update, and maintain case information in the Court’s case management system (Odyssey).

    + Maintain adherence to court policies, legal requirements, and confidentiality standards; consistently provide respectful, professional, and impartial service to all court users.

    Minimum Qualifications

    COMPETENCIES: These are reflective of the KSAs an individual would possess at the full-functioning level.

    Knowledge of:

    + Numerical, alphabetical, and subject matter filing systems.

    + Basic mathematical principles.

    + Office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and databases.

    + English usage, spelling, grammar, and punctuation.

    + Methods and techniques of dealing with the public.

    + Cash handling procedures and record keeping methods.

    Ability to:

    + Perform a wide variety of general clerical and office support duties in support to Municipal Court operations and services.

    + Learn the functions, policies, and procedures of the Reno Municipal Court.

    + Learn, understand, interpret, and apply general administrative and departmental policies and procedures.

    + Learn, understand, interpret, and apply the pertinent codes, statutes, and regulations governing Municipal Court operations.

    + Learn, interpret, and apply statues and instructions related to court proceedings.

    + Learn the pertinent legal procedures and documents used in court cases.

    + Learn the principles and procedures of court calendar preparation and maintenance.

    + Learn legal terminology.

    + Compile, maintain, process, and prepare a variety of records and reports.

    + Read, understand, and review documents for accuracy and relevant information.

    + Interact effectively with a variety of individuals under potentially hostile and stressful situations, including arrestees, inmates, law enforcement officers and agencies, and the general public.

    + Exercise good judgment in maintaining critical and sensitive information, records, and reports.

    + Communicate clearly and concisely, both orally and in writing.

    + Establish and maintain effective working relationships with those contacted in the course of work.

    Education/Training:

    High School Diploma or equivalent; or specialized training that would provide the necessary knowledge, skills and abilities to successfully perform the duties of this position.

    Experience:

    Two (2) years of general office support in a fast-paced environment; ability to work with various software applications.

    At-Will Employment:

    Reno Municipal Court is an at-will employer and can legally release you from service at any time without reason or cause. An extensive criminal background check will be conducted and if you have been convicted of any undisclosed felony or gross misdemeanor crimes then your employment with Reno Municipal Court will be immediately terminated. Failure to pass future criminal background investigations will also result in termination of your employment.
