Position Summary
The Events & Trade Shows Specialist will support a high volume of meetings and events for the commercial divisions of the organization. This position is responsible for coordinating all logistics, managing vendor relationships and securing participation for Caris attended events. The Events and Trade Show Specialist will coordinate support services by communicating with marketing and sales leadership, meeting vendors and company representatives to accommodate what is needed for a successfully and smoothly executed trade show/event.
Financial management is a critical function of this position. Events and Trade Show Specialist must track and manage to a set budget while working closely with other business groups to accommodate each event & meeting's goals.
Job Responsibilities
+ Manage regional meetings and events, as assigned, to coordinate program logistics including registration paperwork (show services), hotel accommodations meeting room set-up, audio/visual services, meal functions, hotel contracts, on-site staff, marketing material needs, and budget reconciliation at conclusion of program.
+ Work closely with the marketing and field leadership to execute at a high performing level.
+ Provide superior customer service to our customers, both internal and external parties.
+ Keep detailed files on all aspects of communication, correspondence, attendee lists, training session, and financial documents relating to each program, including records of contracts and payments.
+ Manage deadlines and multi-task while consistently maintaining attention to detail and providing timely and accurate reporting to marketing and sales leadership.
+ Continually broaden knowledge base regarding company science, company culture, business, industry and trends.
Required Qualifications
+ 2-4 years of meeting planning/Meeting management.
+ Possess knowledge of trade show and events processes, operations and vendor relations.
+ Bachelor of Science/Arts degree from an accredited university or college in related field.
Preferred Qualifications
+ Prior experience in healthcare or life sciences preferred.
+ Proficient in Microsoft Office Suite, specifically Word, Excel, Outlook, and general working knowledge of Internet for business use.
Physical Demands
+ Employee may be required to lift routine office supplies and use standard office equipment.
Training
+ All job specific, safety, and compliance training are assigned based on the job functions associated with this employee.
Other
+ Travel 2-3 times a year for larger events
Annual Hiring Range
$67,000 - $80,000
Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
