    Description

    The Academic Records Coordinator plays a critical role in supporting student recruitment, enrollment, and retention by ensuring that incoming students receive the maximum possible credit for prior learning. This position is responsible for evaluating transcripts and academic records to determine course equivalencies and degree applicability, helping the Coaching staff guide students to identify efficient and achievable degree pathways. By collaborating with academic evaluators and leveraging institutional policies, the coordinator ensures timely and accurate articulation of transfer credits. This work directly impacts a student’s decision to enroll by reducing barriers and accelerating time to a degree. The coordinator also verifies completion of academic requirements and ensures accurate posting of degrees and honors. Additionally, the role supports key institutional initiatives such as BAS programs, Reverse Transfer, Dual Enrollment, and Academy Scholars, contributing to the overall success and satisfaction of GMC students.

    Primary Responsibilities:

    + Provide support to student coaches and enabling student success by evaluating academic including grade changes, withdrawals, enrollment verifications, and petitions.

    + Evaluate coursework from all previously attended institutions; appraise non-course worksheets and determine credits for transfer. Verify and enter academic standing and analyze LSS placement.

    + Coordinate with senior faculty to evaluate courses and update equivalencies in Transfer Evaluation System and Student Information System.

    + Research course descriptions for prior coursework. Send course information for approval. Track the status of evaluation.

    *Criminal background check and drug screen must be cleared before any candidate may begin working.

    Qualifications

    Minimum:

    + Associate degree or commensurate (2+ years) experience working in an office setting related to academic records

    + 3-5 years of experience in a customer service setting or 1 year of academic records experience

    + Experience in:

    + MS Office

    + MS Edge, Firefox, Safari or Chrome

    + Outlook email

    Preferred:

    + Bachelor's Degree

    + 3-5 years of experience in the Registrar's Office or similar higher education setting

    + Experience in:

    + Ellucian Colleague

    + Perceptive Content

    + MS Teams
