Job Title: Accounts Payable Specialist
Job Description
We are seeking an experienced Accounts Payable Specialist to join our team. The ideal candidate will ensure accuracy in processing vendor invoices and employee expense reports, and will maintain positive relationships with vendors through effective communication and reconciliation.
Responsibilities
+ Process vendor invoices and employee expense reports for accuracy.
+ Match invoices with purchase orders and receiving documents to ensure proper billing.
+ Collaborate with service and parts teams to confirm charges.
+ Reconcile vendor statements and promptly resolve any discrepancies.
+ Maintain up-to-date vendor records, including contact and payment details.
+ Prepare and distribute annual vendor tax forms (1099s).
+ Handle payment processing, including check runs, ACH transfers, and wire payments.
+ Assist with month-end closing activities and accrual entries.
+ Respond to vendor inquiries and foster positive working relationships.
+ Ensure compliance with company policies and IRS regulations.
+ Provide documentation and transaction history during audits.
+ Perform additional tasks as needed.
Essential Skills
+ 2+ years of experience in accounts payable or general accounting.
+ Skilled in accounting software such as Karmak Fusion, QuickBooks, Sage, CDK, or similar platforms.
+ Strong proficiency in Excel and experience working with ERP systems.
+ Exceptional attention to detail and strong organizational abilities.
+ Able to work independently while meeting deadlines.
+ Excellent communication, customer service, and problem-solving skills.
+ Capable of handling sensitive information with discretion.
Additional Skills & Qualifications
+ High school diploma required; an associate degree in accounting is a plus.
+ Experience in dealership, logistics, or multi-entity environments (preferred).
+ Familiarity with IRS excise tax documentation and vendor compliance (preferred).
+ Comfortable managing multiple priorities in a fast-paced environment.
Work Environment
This role operates Monday through Friday, from 8am to 5pm, in an office environment. You will be working alongside four other team members. The company, established in 1973, is a third-generation family-owned business with a strong reputation for stability and industry leadership, representing major brands like Mack, Volvo, and Hino.

This is a Contract position based out of Linthicum Heights, MD.
Pay and Benefits
The pay range for this position is $20.00 - $27.00/hr.
