Responsibilities:
GENERAL PURPOSE
The Assistant Director of Student Engagement has responsibility for the design and implementation of successful student programs and volunteer activities for the University’s School of Arts and Sciences and Hajim School of Engineering and Applied Sciences undergraduates. This individual will work collaboratively with Advancement and campus partners to execute class-specific and campus-wide events, advise two Class Councils, manage the School of Arts and Sciences and Hajim School of Engineering and Applied Sciences Student Alumni Ambassador program, and enhance and promote the Rochester Traditions identity and message. They will work closely with the Director to develop strategy and vision for student programs to enhance our pipeline of engaged alumni and donors. They will recruit and interviews applicants, orients new volunteers and arrange for their training and placement.
ESSENTIAL FUNCTIONS
Student Council Volunteer Management
+ In partnership with the Director and Wilson Commons Student Activities, supports the SAS/Hajim undergraduate Class Council system by advising two of the four Class Councils.
+ Assists each Council in planning, marketing, and hosting student programs (average 2-4 events per semester), understanding campus policies, and navigating available resources.
+ Assists each Council with coordinating regular group communications and meetings, setting program goals and monitoring activity, and developing marketing and staffing plans for events. Monitors class gift campaigns, promotes 100% participation, and supports peer solicitation efforts.
+ Designs and coordinates class events for Meliora Weekend and other reunion-related programs.
Extended Volunteer Management
+ Recruits, manages, and cultivates alumni volunteers through meetings and conversations with Advancement partners.
+ Manages volunteer engagement for college classes, ensuring alumni remain connected through both reunion and non-reunion years.
+ Facilitates communications, stewardship, leadership development, and training for volunteers. Supports class outreach efforts, including regional events, communication campaigns, and social media. Reconnects lost alumni and advocates for giving to the University.
+ Manages the Student Alumni Ambassadors (SAA), a dedicated committee of 50+ College undergraduate student volunteers, including coordinating regular group communications and meetings, setting program goals and monitoring activity, and developing marketing and staffing plans for events.
+ Leads the orientation and training of the Student Alumni Ambassadors, including the integration of the ESM ambassadors into the SAS/Hajim program to ensure consistent expectations, engagement structures, and volunteer experience.
Event and Program Management
+ In partnership with the Director, organizes and executes a suite of programs and events during the fall semester– branded as Rochester Traditions – to engage the undergraduate student body and reinforce lifelong connection to the University and alumni community.
+ Works with communications partners to develop and execute relevant, creative, and effective promotional marketing materials to increase individual event participation and strengthen the overall Rochester Traditions identity and message.
+ Coordinates with school and unit Advancement partners to enhance their student programming and communications by sharing resources and opportunities for inclusion.
+ Works collaboratively with the other Class Council advisers to staff Rochester Traditions and Class Council events.
+ Represents the Office of Alumni Relations and Constituent Engagement on campus committees, including the Sophomore Committee, and at campus events as needed including Meliora Weekend.
Personal Outreach
+ Maintains a consistent presence on campus, meeting with current undergraduates for the purposes of volunteer recruitment and cultivation and sharing our alumni engagement and philanthropy message.
+ Conducts national alumni outreach, volunteer recruitment, and donor discovery. May choose to conduct national travel. A minimum of 50 purposeful in-person or virtual meetings in a fiscal year is required.
Marketing and Communications
+ Collaborates with leadership to develop, review, and update marketing materials, web pages, emails, printed communications and collateral, and other communications to engage alumni and promote reunions effectively. Alongside the Director of Student Engagement, ensures promotional vehicles for student engagement are relevant and effective.
+ Assists with executing a social media strategy to engage current undergraduates and promote our office’s programs, volunteer opportunities, and services.

Goal Setting and Analysis
+ Responsible for contributing to operating plans, attendance and engagement statistics reports, and analysis of Class Council, Rochester Traditions program, and Student Alumni Ambassador performance on a regular basis.
+ Performs continued training, professional development and gaining of overall University knowledge through regular meetings with unit-based colleagues, faculty, and staff; training on URochester Advancement protocols and procedures; technical training on Advancement’s prospect management system; and honing of professional skills through seminars, conferences, trainings, and individual mentoring.

MINIMUM EDUCATION & EXPERIENCE
+ Bachelor’s Degree. Required
+ A minimum of five years of relevant experience. Required
+ or equivalent combination of education and experience. Required
KNOWLEDGE, SKILLS AND ABILITIES
+ Experience with event planning or volunteer management required.
+ Demonstrated ability to work with, motivate, and lead volunteers is preferred.
+ Experience with collegiate events preferred.
+ Outstanding communication skills, including direct interpersonal skills.
+ Demonstrated ability to think creatively and develop innovative programs and solutions to problems.
+ Experience with computer technologies and sophisticated software applications.
+ Evening and weekend work is required.
