Join the Division of State Care Facilities, a dedicated team within the Idaho Department of Health & Welfare committed to supporting and empowering clients through compassionate, skilled services. As aTechnical Records Specialist, Supply, you will play a key administrative role in ensuring accurate, compliant, and efficient management of supply documentation that supports the operations of State Hospital West and the Southwest Idaho Treatment Center inNampa. This position helps maintain essential records that enable safe, effective, and client-centered care across the division.

    Work Environment

    • Office environment with regular contact with warehouse or supply operations.

    • May require occasional lifting of files or materials and periodic visits to storage or inventory sites.

     

    The successful applicant will be required to complete a criminal history background investigation. Employment is dependent upon satisfactory results of the investigation.

    EXAMPLE OF DUTIES:

    + Maintain, review, and update supply chain records including purchase orders, inventory logs, receiving documents, vendor files, and compliance materials.

    + Verify accuracy and completeness of data entered into state or agency inventory systems, identifying and correcting discrepancies.

    + Assist with inventory control activities, including reconciling system records with physical inventory and supporting annual/periodic inventory audits.

    + Prepare routine and specialized reports for management, including supply trends, usage data, shortages, and compliance issues.

    + Ensure documentation aligns with state procurement rules, retention schedules, and agency policies.

    + Coordinate with procurement officers, warehouse staff, finance personnel, and other agency units to ensure proper flow and tracking of supply documentation.

    + Maintain organized digital and physical filing systems for efficient retrieval and archival of technical supply records.

    + Compile documentation and provide support during internal and external audits, inspections, and compliance reviews.

    + Recommend improvements to record keeping procedures to increase efficiency and reduce errors.

    MINIMUM QUALIFICATIONS:

    You must possess all the minimum qualifications below to pass the exam for this position.     + Experience monitoring a records system to identify and correct errors. Typically gained by one year of full-time work experience.

    + Experience researching a variety of sources to resolve problems. Typically gained by one year of full-time work experience.

    + Experience interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments. These complex decisions could have affected the social or economic well-being of others or would result in a service or action being denied. Typically gained by one year of work experience.

    + Experience entering and retrieving data using a computerized records system. Typically gained by six months of work experience.

     

    Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.

     

    + Experience working in a state agency or public sector environment.Typically gained by at least one-year prior experience working in state agency or public sector environment.

    + Knowledge of state procurement rules, inventory control practices, and records retention requirements.Typically gained by one year experience applying procurement procedures, maintaining inventory systems, or managing records in accordance with state policies; OR completion of related coursework or training.

    + Proficiency with inventory management systems, and Microsoft Office applications.Typically gained by regular, ongoing use of inventory or asset-tracking software, and Microsoft office in a professional setting for six months or more.

    + Strong attention to detail, accuracy, and organizational skills.Typically gained by performing administrative, data entry, analytical, or inventory-related tasks requiring accuracy and organization for six months or more.

    + Ability to interpret policies, follow procedures, and communicate effectively with staff at all levels.Typically gained by experience reviewing and applying policies or procedures and collaborating with employees, supervisors, or external stakeholders for six months or more.
