Responsibilities:
This position will provide direct administrative support for 2-3 gift officers, as assigned, within URMC Advancement. This position will utilize strong computer and Microsoft Office skills to generate reports and prepare materials for donor visits, meetings, and other presentations, as requested. This role will assist with calendaring, travel, and event logistics, expense reports, and other general office duties. This role requires the ability to properly handle confidential information in a professional manner. Must possess the ability to handle gift processing and related documents with a high degree of accuracy. Excellent organizational skills, strong written and verbal communication skills, and an ability to work with Excel and donor management databases are all required.
ESSENTIAL FUNCTIONS
Gift Officer Support
+ Meets with gift officers weekly. Manages calendars as needed.
+ Prepare reporting and other documents as needed. Compiles information for donor visits, mailings and meetings.
+ Updates donor and alumni information in Salesforce ascend and/or OASIS. Assist with routine correspondence and add that information to constituent records.
+ Arranges gift officer travel as needed. Processes expense reports in a timely manner.
Event Support
+ Assists with small events as needed, including but not limited to dinners, meetings, and/or tours.
+ Creates and maintains lists of invitees as needed.
+ Prepares nametags, agendas, printed materials.
+ Arrange space and the appropriate tech requirements, catering, and reserves parking if needed.
+ May need to attend some events off site and outside normal business hours. Must work Meliora Weekend and support as needed.
**Processing Expense Reports, Invoices, Database Updates** .
+ Maintain current training and certifications in Salesforce ascend, OASIS, Workday, and other technologies available.
+ Handle invoices and expense reports in a timely manner.
+ Develop a thorough understanding of Salesforce and OASIS and successfully generate reports, update donor and alumni data, and research gifts/allocations as needed.
+ Process gifts accurately and in a timely manner as needed.
+ Save all gift documents according to department guidelines.
General Office Duties
+ Successfully communicate with all members of the team.
+ Successfully manage email to stay organized.
+ Assist with mailings as needed.
+ Triage mail for the department as assigned.
+ Assist with copier maintenance and the storage of supplies.
Other duties as assigned.
MINIMUM EDUCATION & EXPERIENCE
+ Bachelor's degree and min. 1 year of relevant experience required
+ Or equivalent combination of education and experience
+ Experience in a marketing organization preferred
KNOWLEDGE, SKILLS AND ABILITIES
+ Excellent Skills utilizing Microsoft Office Products, specifically in Outlook, Word, and Excel.
+ Strong written and verbal communication skills are preferred.
+ Practical experience in Workday and Salesforce products is a plus
