Production Policy Coordinator
Summary
The Production Policy Coordinator is responsible for reviewing and categorizing all production/manufacturing rework and sales goodwill work orders to identify root causes and ensure proper resolution. This role collaborates with Production, Service, Engineering, Quality Control, Warranty, and Sales to properly process work orders, track and evaluate failures, investigate details, and provide corrective recommendations. The coordinator will also generate monthly reports and communicate findings to service teams.
Essential Duties and Responsibilities
Work Order Investigation & Processing
+ Investigate all work orders opened to Production & MFG rework and goodwill billing accounts.
+ Collect investigation data using Salesforce, Smart Sheets, R-360, M3, Truck Locator, and Vault.
+ Communicate with the originating branch/CIC to gather details and pictures.
+ Communicate with the branch that built or modified the unit for additional information.
+ Utilize vendor information and engineering resources to diagnose failures.
+ Identify failure cause: CTOS workmanship vs. warranty/vendor failure.
+ Determine and document the correct billing customer for each work order.
+ Review, process, and close all Production and MFG rework work orders.
+ Gather sales goodwill approvals and close related work orders with appropriate reason codes.
+ Work with Production & Sales leadership on approval matrices for high-dollar repairs.
Root Cause, QC Collaboration & Improvement
+ Assist in root cause analysis and corrective action to guide repair facilities.
+ Work with QC to identify improvements and create documentation/bulletins when needed.
+ Verify warranty has sufficient information to pursue vendor recovery when applicable.
+ Code failures by product family, type, reason, origin, and other relevant metrics.
+ Track and evaluate failure trends; report findings to help prevent future failures.
+ Gather QC data monthly after coding failures and prepare reports.
+ Relay QC findings monthly to service locations.
Cross-Functional Responsibilities
+ Work collaboratively with Production, Engineering, QC, Warranty, and Service Teams.
+ Ensure compliance with corporate standards and adherence to all formal processes.
+ Utilize and learn available tools as needed to support QC decisions.
Required Skills and Qualifications
+ Solid understanding of product configuration, documentation control, and production material/workflow processes.
+ Strong written and verbal communication skills.
+ Proficiency with Microsoft Office, especially Excel.
+ Experience with ERP systems; **M3 experience is a plus** .
+ Ability to read and interpret engineering drawings.
+ Technical or Manufacturing Technology degree (or comparable).
+ Minimum **5 years’ experience** in a manufacturing environment.
+ Proven ability to organize and prioritize tasks.
+ Ability to work effectively in a fast-paced team environment.
Preferred Experience / Additional Skills
+ 5–10 years in a manufacturing or production environment.
+ Experience with product configuration management processes.
+ Mechanical background strongly preferred.
+ Hydraulic repair experience.
+ Experience with heavy trucks and heavy equipment is a plus.

Physical Demands
+ Regular movement throughout the facility.
+ Frequent sitting; occasional walking, stair and ladder climbing, reaching, and handling materials.
+ Occasional lifting/moving up to 50 lbs; assistance required for lifting above 100 lbs.
+ Vision requirements: close, distance, color vision, and ability to adjust focus.
Work Environment
+ Exposure to moderate to loud noise levels.
+ Occasional exposure to fumes, airborne particles, chemicals, moving mechanical parts, and vibration.
+ Occasional work around extreme cold, heat, or outdoor weather conditions.
+ Must be able to work effectively within a matrix organization.
