    A prestigious private estate and hospitality-focused organization in Rancho Santa Fe is seeking an experienced and polished Administrative Manager to oversee daily office operations, manage administrative staff, and support executive leadership across multiple high-end residential and service properties. This is an excellent role for someone with impeccable organizational skills, a high level of professionalism, and the ability to maintain confidentiality in a private, guest-centric environment.

    • Key Responsibilities

    + Oversee day-to-day administrative operations including scheduling, correspondence, visitor coordination, office logistics, and staff support

    + Manage a small team of administrative and front-desk personnel, providing coaching, delegation, training, and performance oversight

    + Develop and maintain streamlined processes for communication, document control, recordkeeping, scheduling, and reporting

    + Support senior leadership with meeting prep, project planning, vendor management, and document creation

    + Coordinate with facilities, landscaping, security, and hospitality teams to maintain smooth communication across all departments

    + Maintain budgets for office supplies, equipment, routine administrative expenses, and vendor billing

    + Draft professional communications, proposals, reports, and internal updates

    + Handle sensitive information related to guests, residents, and executives with the highest level of discretion

    Requirements

    + 4–6 years of administrative leadership experience (hospitality, luxury property, HOA, or private estate preferred)

    + Strong proficiency in Microsoft Office Suite and project management tools

    + Ability to manage multiple priorities with professionalism and calm under pressure

    + Exceptional communication, writing, and relationship-building skills

    + Strong leadership skills with experience supervising staff

    + Highly polished, warm, and service-driven demeanor
