    The Board of Dentistry is the independent State agency charged with protecting public health and safety regarding dental services provided in the State of Minnesota. The Board's mission is to promote and protect public health and safety; and ensure that every licensed dental professional practicing in the state meets the requirements for safe, competent and ethical practice.

     

    The Board is seeking a temporary Office and Administrative Specialist Senior to facilitate the administrative functions of the Board and ensure that organizational operations are carried out efficiently and effectively. The responsibilities include but are not limited to:

     

    + Oversee administrative procedures for processing invoices; order and maintain supplies and equipment; analyze, reconcile and process reimbursements; and track inventory.

    + Provide database support acting as the first point of contact for technical resolution of IT or database related issues.

    + Act as a liaison to Board's database vendor, providing ongoing management and follow up through on projects and tasks.

    + Provide administrative support by composing and sending correspondence; locating and compiling statistical information and developing reports; and developing internal and external distribution lists and disseminating agency information.

    + Coordinate the development, maintenance and distribution of internal operating procedures and manuals.

    + Manage website content and pages.

    + Perform other related duties as assigned by the Executive Director.

    Minimum Qualifications

    + Experience providing administrative support.

    + Knowledge of communications sufficient to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction; communicate effectively with internal and external customers; and explain the reasons for transactions and procedures, rules, and regulations so others understand the information they are being given.

    + Knowledge of standard computer software programs for work processing, presentations, and spreadsheets sufficient to draft and edit documents, produce reports, letters, memos, and other correspondence in appropriate business style.

    + Customer service skills sufficient to provide prompt, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence; effectively communicate and elicit information with tact and diplomacy in difficult situations; and efficiently resolve customer problems.

    + Skills in data entry sufficient to read source document and enter data into specific fields; locate and correct data entry errors; and receive and review source documents, compare documents to database information, and edit, code and correct documents.

    Preferred Qualifications

    + Associate degree or higher.

    + Ability to learn quickly the Dental Practice Act and related Board of Dentistry rules and processes.

    + Ability to maintain confidentiality.

    + Demonstrated attention to details.
