Who we are
In May of 1991, former President George H.W. Bush elected to make Texas A&M University home to his Presidential Library. The site of the George Bush Presidential Library Complex, which houses the George H.W. Bush Presidential Library and Museum, the Walter and Leonore Annenberg Presidential Conference Center, and the Bush School of Government and Public Service, consists of ninety acres on the West Campus of Texas A&M University. The conference center houses two auditoriums, three banquet spaces, the Political Science and Economics Library, the Bush School of Government and Public Service's Extended Education offices, and the George Bush Presidential Library Foundation offices. In March of 2003, the George Bush Presidential Conference Center was renamed the Walter and Leonore Annenberg Presidential Conference Center .
What we want
The Assistant Manager is responsible for the daily operations of the Bush Presidential Conference Center, including scheduling and managing events, supervising staff, coordinating with service providers, and developing marketing information.

Salary: Will be commensurate based on the selected hire’s education and experience.

Schedule: Monday – Friday 8AM through 5PM with additional hours in the evening and/or weekends as needed.
Qualifications
Required Education and Experience
+ Bachelor’s degree or equivalent combination of education and/or experience.
+ Four years of customer service, event coordination, event planning, or related experience.
Preferred Qualifications
+ Bachelor’s degree in in Facility Management, Hospitality Management, or related field.
+ More than 2 years of experience in Event Planning or Event Coordination/Logistics.
+ Event Related Certifications or Licenses; Certified Meeting Planner (CMP), Certified Venue Professional (CVP), or other related certifications/licenses.
Knowledge, Skills, and Abilities
+ Knowledge of word processing, spreadsheet, and database applications.
+ Verbal and written communication skills.
+ Ability to multitask and work cooperatively with others.
+ Customer service oriented.
+ Computer, Telephone, Basic Office Equipment, Event Equipment, Audiovisual and Lighting Equipment.
+ Ability to lift, move, or handle heavy objects.
+ May require bending, stooping, climbing, and/or moving
Responsibilities
Strategic Planning
+ Assistant Manager of the Annenberg Presidential Conference Center serves on management team with Director.
+ Assumes management responsibility of Presidential Conference Center’s services and activities including event services in absence of Director, overseeing operations, sales, and marketing including all social media and website.
+ Participates in planning, directing and coordinating effectiveness of service delivery methods and procedures.
+ Participates in developing departmental strategic plan based on unit goals; plans budgets of unit(s) under their supervision and assists Director in planning and budgeting for department.
+ Develop reports, analysis and surveys as requested by the Director.
+ Handles special projects assigned by the Director.
+ Assists with marketing of our premier conference and performance package for facility users of the conference center.
+ Acts as the primary external liaison for the Presidential Conference Center, representing the organization to outside groups and stakeholders.
+ Presents facility and marketing materials to external organizations.
Operational Advancements
+ Monitors identify opportunities for improvements and direct implementation of changes.
+ Assists in the selection, training, motivation and evaluation of Annenberg Presidential Conference Center personnel.
+ Participates in negotiations and contract preparation.
+ Oversees directing and monitoring the activities of all facility maintenance, custodial, event vendors, security, and transportation services.
+ Oversees with the coordination of the work plans as directed by the needs of the Annenberg Presidential Conference Center Clients.
+ Oversee scheduling regular inspections, coordinating repairs, and making sure all areas are safe and functional.
+ Ensures all technical and operational equipment (such as audio-visual systems, lighting, furniture, and appliances) are regularly checked, serviced, and managed efficiently. Tracks equipment usage, schedules preventive maintenance, and addresses any malfunctions promptly
+ Responsible for keeping accurate records of all assets and supplies. This includes ordering new items when necessary, tracking usage, and ensuring nothing is lost or unaccounted for.
+ Prepares and presents staff reports and other necessary correspondence.
+ Provides high level of operational support to the Director.
+ Participates in pre-planning meetings with clients.
+ Represents the department, college, or university on various committees.
Event Operations
+ Oversees booking and maintenance of the facilities and Bush Complex calendar.
+ Meets with clients to plan and implement program events such as conferences, seminars, lectures, performances, meetings, workshops; oversees the maintenance of program records and databases.
+ Investigates complaints and resolves problems or concerns.
+ Oversees all vendor relationships.
+ Oversees scheduling event management software and implementation of changes.
+ Assists in coordinating program operations to include equipment and staff; supervises office and coordinates clerical and secretarial duties for staff.
+ Position serves as the event coordinator on duty during events.
+ Prepares cost estimates, event outlines, and event billing; ensures client’s requirements are met and facility rules and regulations are adhered to.
+ Ensures that the facilities are maintained in a safe and clean environment.
+ Ensures that facility and audio/visual set-ups are completed accurately and on time.
+ Assists in responding to and resolving event issues.
+ Complies with all Annenberg Presidential Conference Center safety regulations.
Supervisory Responsibilities
+ Supervises all student technicians, event coordinators and other related staff.
+ Communication with clients and staff in regard to timing or other necessary changes.
+ Build and coordinates relationships to improve interpersonal relationships and build guest experiences.
