The Price School of Public Policy has an immediate need to hire an Executive Assistant to support the dean and the dean’s office. This position reports to the dean.
The executive assistant will be required to independently analyze, organize, and prioritize daily support activities as well as review, evaluate, and rank all incoming requests and communications for the dean. This person must have a professional demeanor and excellent written, verbal, and interpersonal communication skills to ensure the dean’s day-to-day activities are efficient and effective.
This is a full-time position and the incumbent is expected to be in the office fully on-site Monday - Friday. Occasionally they may need to work evenings and weekends.
The executive assistant will:
+ Oversee the administrative operations of the dean’s office
+ Manage the dean’s schedule and coordinate all meetings—Zoom, hybrid, and in-person—including meetings with the Price Dean’s Cabinet
+ Save meeting materials and collate background information; confirm details with attendees
+ Collaborate with members of the Price Dean’s Cabinet in organizing Board of Councilors meetings and other events that support the dean.
+ Maintain electronic filing systems, up-to-date records, and contacts
+ Arrange travel and accommodations for the dean
+ Make recommendations and order gifts on behalf of the dean
+ Submit and track dean’s expense reports
+ Screen and direct all incoming calls and relay information as appropriate
+ Supervise the administrative assistant and student workers, providing back-up support at the front desk as needed
+ Prepare correspondence
+ Manage special projects as needed
Required:
+ Bachelor’s degree
+ Direct experience supporting a senior executive in an academic environment
+ Strong customer service and problem-solving skills
Preferred qualifications:
+ Strong computing skills: Microsoft Office 365, Box, Concur, Workday Finance
+ Excellent organizational skills to address, prioritize and coordinate multiple activities concurrently
+ Strong verbal and written communication skills
Compensation
The annual base salary range for this position is $90,000 - $102,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
