Job Title: Project Document SpecialistJob Description
This role provides comprehensive administrative and project support for large regional transmission projects. It involves coordinating project activities, managing documentation, and ensuring compliance with company standards. The position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal teams, external partners, and stakeholders.
Responsibilities
+ Assist project managers and teams with scheduling, agendas, meeting minutes, and status reports.
+ Prepare presentations, reports, and other project-related documents.
+ Coordinate communication and processes across utilities, vendors, and contractors.
+ Support leadership with division work plan updates and onboarding/termination processes.
+ Organize travel, facilities, and project events.
+ Manage the lifecycle of project documentation, including creation, review, revision, and archival.
+ Implement and maintain document management systems such as SharePoint and MS Teams.
+ Conduct audits for accuracy and compliance.
+ Manage version control and permissions for document access.
+ Train staff on document control processes and best practices.
+ Ensure efficient document retrieval and adherence to company standards.
+ Create high-quality presentations and templates.
+ Mentor staff on processes and reporting when appropriate.
+ Ensure compliance with safety and security procedures.
+ Assist in developing and implementing cost approval workflows and procedures to enhance efficiency and control aligned with project requirements.
+ Maintain confidentiality and perform special projects as assigned.
Essential Skills
+ Strong organizational and time management skills.
+ Excellent communication and interpersonal skills.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Familiarity with document management systems, with SharePoint experience preferred.
+ Ability to review and interpret complex documents and financial data.
+ Detail-oriented with a focus on accuracy and quality assurance.
+ Ability to maintain confidentiality and adapt to changing priorities.
Additional Skills & Qualifications
+ Advanced Microsoft Office and SharePoint skills, including document libraries, version control, and templates.
+ Ability to create spreadsheets with formulas, pivot tables, and data visualization.
+ Strong business writing and formatting skills.

This is a Contract position based out of Maple Grove, MN.
Pay and Benefits
The pay range for this position is $31.00 - $41.00/hr.
