    Job Title: CW Department AdminJob Description

     

    We are seeking a dedicated and detail-oriented CW Department Admin to provide essential administrative support for the PTT Department. This role involves working collaboratively with the General Manager, department team members, and other PT Division Admins to ensure smooth operations within the department.

    Responsibilities

    + Provide general administrative support for the PTT Department.

    + Coordinate new hire setup and preparation, including desk setup, required access, and general onboarding support for team members, contract professionals, and resident Japan-Staff.

    + Maintain the department organization chart in collaboration with the General Manager and update the evacuation list for team members in designated buildings.

    + Train new Powertrain Division Admins in collaboration with other PT Division Admins.

    + Manage budget-related tasks, including direct funding, indirect/operations budget, and Capex.

    + Attend budget meetings and provide monthly status reporting to General Manager and PTT Managers.

    + Handle purchase requisition submissions and tracking, including approvals, purchase order dispatch, vendor invoicing, receipting for payment, and purchase order reconciliation to expenditures.

    + Prepare and submit monthly accruals and budget corrections.

    + Collaborate with department managers to resolve budget discrepancies and negotiate targets, estimates, and planned consumption rates.

    + Assist with capital budget activities, including tracking and maintaining fixed assets.

    + Arrange and set up general meetings and department events, including executive and guest tours, team-building events, and department lunches.

    + Order office supplies, monitor the supplies budget, and make recommendations regarding purchase decisions.

    + Arrange travel through the designated travel agency and handle occasional mail distribution.

    + Assist in special projects as required and participate in cross-company communications to support department operations.

    + Provide backup for other Department Assistants and participate in administrative staff support meetings.

    Essential Skills

    + 3+ years of experience in general office/department support.

    + Excellent verbal, written, interpersonal, and customer service skills.

    + Advanced knowledge of MS Teams, Excel, Outlook, Word, PowerPoint, and SharePoint.

    + Proficiency with SAP/Ariba is strongly preferred.

    + Strong accounting/financial background is a plus.

    + Ability to work independently and collaborate effectively with team members.

    Additional Skills & Qualifications

    + Strong ability to communicate effectively with team members at all organizational levels.

    Work Environment

    The work environment involves a collaborative setting, working closely with the General Manager and other team members. The role includes using various Microsoft Office tools and SAP/Ariba for administrative tasks. The position may require occasional travel arrangements and participation in department events and meetings. The dress code is professional, and the office is equipped with the necessary technology and resources to support the department's administrative needs.

    This is a Contract position based out of Ann Arbor, MI.

    Pay and Benefits

    The pay range for this position is $23.00 - $28.00/hr.
