    The University of Michigan Medical School seeks a highly skilled and composed Executive Administrative Partner to provide executive-level support to the Dean. Working closely with the Vice Deans, department chairs, and Michigan Medicine leadership, the office drives initiatives that advance academic excellence, world class research, health equity, and organizational effectiveness.

    Responsibilities*

    Key Responsibilities

    Executive and Strategic Support

    + Provide advanced, confidential executive support to the Dean, exercising sound judgment and professionalism in managing sensitive and high-impact matters.

    + Serve as a trusted administrative partner, anticipating needs, managing priorities, and ensuring timely follow-through on key projects and decisions.

    + Represent the Dean's Office in a professional and diplomatic manner with internal and external stakeholders, including university executives, faculty, alumni, and national collaborators.

    + Support and occasionally lead special projects or initiatives aligned with the Dean's strategic goals.

    Calendar, Meeting, and Travel Management

    + Proactively manage the Dean's complex calendar, prioritizing commitments and coordinating logistics with multiple internal and external partners.

    + Prepare the Dean for meetings by compiling background materials, agendas, and briefing documents.

    + Coordinate domestic and international travel, prepare detailed itineraries, and process reimbursements in accordance with university policies.

    + Oversee logistical and administrative aspects of high-level meetings and events, including technology support, materials preparation, and follow-up.

    Communications and Correspondence

    + Draft, edit, and manage correspondence, reports, and presentations on behalf of the Dean with clarity, professionalism, and discretion.

    + Ensure effective communication flow within the Dean's Office and across leadership portfolios.

    + Collaborate with communications staff on internal and external messaging, including remarks and presentations.

    Administrative Leadership and Collaboration

    + Serve as the key liaison within the Executive Suite providing leadership and guidance to administrative partners supporting the Dean's Office, Vice Deans, and Office of the EVMPA Leadership.

    + Promote excellence in executive support practices and foster a collaborative, solutions-oriented office culture.

    + Contribute to planning and execution of major events, town halls, and leadership meetings.

    + Develop and maintain systems to improve efficiency and information management across the Dean's Office.

    Required Qualifications*

    + Bachelor's degree or equivalent combination of skills, experience, and education.

    + 5 to 7 years of relevant high-level administrative experience.

    + Excellent interpersonal skills with ability to interact with diverse people both within and outside of the University, and at different levels of the institution, including executive officers, high-level administrators, faculty, staff, students, and external partners.

    + Outstanding judgment in the handling of confidential materials and situations with sensitivity and discretion.

    + Excellent attention to detail and demonstrated organizational, interpersonal, oral, and written communication skills.

    + Ability to be proactive and to prioritize among competing demands

    + Ability to work both collaboratively and independently, achieve high performance goals, and meet deadlines in a fast-paced and quickly changing environment.

    + Successful work history demonstrating either effective process management or management of multiple complex tasks.

    + High level of proficiency in Microsoft Office, Google Suite, and Emburse Enterprise.

    Desired Qualifications*

    + Reliable and punctual; ability to flex work schedule as needed.

    + High level administrative support experience in an academic medical setting.

    + Flexibility and willingness to learn new content/skills

    + Familiarity with University policies and procedures.

    + Familiarity with University systems.

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
