    Job Summary

    The Life Sciences Institute (LSI) at the University of Michigan (U-M) seeks an individual to provide high-level, confidential administrative support for core directors and staff of the following LSI cores: Center for Structural Biology (CSB) and Natural Products Discovery Core (NPDC). You will report directly to the LSI Cores Business Administrator and work a hybrid schedule.

    Responsibilities*

    Administrative and Operational Support

    + Manage calendars, travel arrangements, reimbursements, facility reservations, and provide general administrative support for core directors and personnel

    + Initiate agreements (Material Transfer, Non-Disclosure, and others) with LSI Research Administration

    + Process purchasing approvals

    + Maintain online facility management program (including onboarding users, updating rates, services, and equipment)

    + Partner with core directors and the LSI Cores Business Administrator to provide service quotes and gather the necessary approvals

    + Oversee onboarding and access for core users, including maintaining Canvas and equipment calendars

    + Support staff and student recruitment processes

    + Draft standard operating procedures

    Reporting & Metrics

    + Track publications and provide accurate records for grant report submissions

    + Monitor deadlines for grant progress reports

    + Manage the Life Sciences Collaborative Access Team (LS-CAT) schedule requests; compile and report user metrics and manage industry contract renewals

    + Manage reporting requirements for the Structure and Drug Screening Shared Resource (SDS-SR)

    Communications & Events

    + Develop a combined core newsletter

    + Organize events, seminars, advisory/board meetings, and vendor demonstrations (including logistics, marketing, catering, and follow-up actions)

    + Draft letters of support for internal/external partners, and collaborators

    + Maintain current contact lists, email groups, and electronic filing systems

    + Conduct quarterly reviews and provide updates of core websites

    + Be a Core representative across campus and to external collaborators

    Other Duties

    + Provide backup support to LSI Cores Business Administrator

    + Perform additional responsibilities as assigned

    Required Qualifications*

    + High school diploma, or equivalent combination of education and experience

    + Four years of progressively responsible administrative experience

    + Experience handling confidential information and sensitive matters and discretion

    + Prioritize and balance multiple concurrent assignments and deadlines

    + Effectiveness working with a diverse group of colleagues, faculty, staff, students, clients, and visitors

    + The ability to work on a team

    Desired Qualifications*

    + Bachelor's degree or equivalent combination of education and experience

    + Two or more years of experience assisting research faculty

    + Working knowledge of applicable University policies including travel and reimbursement

    + Experience with Dropbox, Emburse Enterprises, and Zoom

    Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.     Additional Information

     

    The LSI administrative staff benefit from a hybrid workplace. Per current LSI policy, you will be on-site at the LSI three (3) days per week, with remote work permitted two (2) days per week. This hybrid work allowance is based on program and business needs and may be modified by LSI policy with advance notice.
